The Events List


The events list is also a standard feature on websites created with the Team Site template, as well as in document workspaces. The events list is a bit more complicated than the links and contacts lists because events are typically viewed in a calendar format as opposed to a list of dates and times which can be confusing to figure out. Most SharePoint users are also familiar with the Outlook calendar and expect this presentation.

Figure 7.3 shows a portion of the New Item page (referenced as NewForm.apsx in the URL), accessible by clicking Add new event from the events Web Part on the site home page, or from within the events list (referenced as AllItems.aspx in the URL). A title must be entered for each event, as well as a beginning time. A description and location are optional. In this example, a recurring event is being created, and in Figure 7.3 in the Recurrence section, the circle is filled next to Weekly, which brings up the recurrence options shown in the bottom half of the figure. These options are fairly self-explanatory, but note that recurring events can take place on several days in a week, not just one. Make sure you specify a start date (or click the calendar icon and use the pop-up calendar to choose the date) and either select No end date, enter a number of occurrences, or enter an end date. In this case, the event happens every Monday, Wednesday, and Friday and ends on 12/4/04.

At the bottom of the New Item page is the option to create a meeting workspace for this event. Meeting workspaces were discussed in Lesson 3, "SharePoint Site Collections Demystified," and are web pages in SharePoint dedicated to storing and managing information pertinent to a specific event. A file can also be attached to the event (for example, an agenda), and this often will suffice, and it isn't necessary to then create a dedicated meeting workspace. The new event is then created by clicking on Save and Close.
