Canceling a Print Job

Sometimes, you might decide at the last moment that you want to cancel a print job. How you cancel a print job varies, depending on whether background printing is turned on. By default, background printing is activated, which means that you can continue working while you print a document. To change this setting, choose Tools, Options, select the Print tab, and clear the Background Printing check box. To halt printing from within Word while your computer is sending a document to the printer, follow one of these two procedures:

  • If background printing is disabled, click Cancel or press Esc.
  • If background printing is enabled, double-click the animated printer icon on the status bar while the document is being sent to the printer. If you're printing a short document, the animated printer icon might not be visible long enough for you to cancel the printing task.

Managing Print Jobs Using the Print Queue Window

You can also manage your print jobs within the print queue window after they have been sent to the printer. To open the print queue window, double-click the Printer icon on the Windows taskbar after you've sent a document to the printer. You can perform the following key tasks from the print queue window:

  • Delete a single print job. Select the print job you want to cancel, and choose Document, Cancel Printing to remove it from the print queue.
  • Reprioritize print jobs. Drag print icons up or down within the print queue list to change the order in which documents are printed.
  • Cancel all print jobs. Choose Printer, Purge Print Documents to delete all documents from the print queue.
