You'll use the Page Setup dialog box to enter the page settings. To display the dialog box, choose File, Page Setup. The Page Setup dialog box appears, as Figure 21-1 shows.

newfeature!  The Page Setup dialog box has a new look in Word 2002—in addition to the reordering of options on the individual tabs, a new tab called Document Grid has been added. Use the following tabs to enter the page basic settings:

  • Margins. The Margins tab allows you to enter the top, bottom, left, right, and gutter margins; choose the page orientation; and select the format for multiple pages.
  • Paper. The Paper tab includes all the choices you need to choosing the paper size and source for the paper and envelopes on which you'll print your information.
  • Layout. The Layout tab enables you to make choices about sections, headers and footers, and the alignment of text.
  • Document Grid. The Document Grid tab enables you to control the horizontal and vertical spacing of characters in your document. From within this tab, you can also specify drawing grid settings, which give you spacing control over document drawings.

Setting Up the Document as a Whole

One of the first choices you'll make controls how far-reaching you want the page setup settings to be. You can choose to apply the page settings to the entire document or apply the settings from the cursor position forward. To make your choice, choose File, Page Setup to display the Page Setup dialog box and, on the Margins tab, click the Apply To down arrow. To have Word apply the settings to the entire document, select Whole Document. Any other changes you make in the Page Setup dialog box will be applied to your document as you selected.

Tip - Choose both document and section settings


You can mix and match choices you make for the entire document and for selected sections. For example, you can set a specific left margin for the entire document and add line numbers only for a section. Be sure to make your selection in the Apply To list before you enter the page setting you want.

Working in Sections

If you want to enter page setup settings for a selected section only, start by placing the insertion point where you want to make the change. Then choose File, Page Setup to display the Page Setup dialog box, and click the Apply To down arrow. Select the option From This Point Forward, and then make your page setup changes. The settings you enter are applied throughout the rest of the document, and Word inserts a Section Break marker at the insertion point.

If you want to end the page setup settings at a certain point (for example, perhaps you increased the right indent for a particular section but want to return to the normal margin after that section), start by placing the insertion point where you want to make the change. Then choose File, Page Setup to display the Page Setup dialog box a second time, click the Apply To down arrow, choose From This Point Forward, and return the settings to normal. Finally, click OK to return to your document.

Setting Page Setup Defaults

Once you get the page settings set up the way you want them, you can save the specifications as your page setup defaults. To do this, follow these steps:

  1. Place the insertion point where you want new page settings to take effect.
  2. Choose File, Page Setup to display the Page Setup dialog box.
  3. Click the Apply To down arrow, and choose whether you want the changes applied to the entire document or from the insertion point forward.
  4. Enter the other page setup choices you want reflected in the document.
  5. Click the Default button in the lower left corner of the Page Setup dialog box. A message box appears (see Figure 21-2), asking whether you'd like to change the default settings in the current template. To do so, click Yes; otherwise, click No.

Tip - Make a backup copy


For best results, always keep a clean backup copy of your standard template in another directory on your hard disk or server. That way, if you need to return to earlier default specifications, you can do so without having to re-enter the original Word settings.
