 New in Office 2003—Cached Exchange Mode   If you use a laptop, you probably aren’t always connected to your mail server, but with Outlook’s remote capabilities, you can read and write messages and other items no matter where you are. Cached Exchange Mode, a new feature in Outlook 2003, makes switching from working online to offline and back a snap.

Tip 

Cached Exchange Mode is not compatible with Outlook’s Remote Mail feature. Cached Exchange Mode provides much broader capabilities than Remote Mail, which works only with your Inbox.

When you enable Cached Exchange Mode, Outlook creates a local copy of your mail box on your computer. While your computer is connected to your Exchange server, your local mailbox is kept up to date. If your connection is interrupted, for example, because you take your laptop on a bus or plane, you can read all the messages you received before you started working offline and write new ones. When your connec tion is restored, Outlook automatically sends any messages in your Outbox, copies new incoming messages to your local mailbox, and displays them in your Inbox.

You can choose from several Cached Exchange Mode connection settings:

  • The Download Full Items setting downloads all your messages and their attach ments one at a time. If you keep Outlook open and your computer connected to a network, this is the best option because it uses the least bandwidth to down load all your messages. If you have a slow connection or receive messages with large attachments, messages might be slow to appear in your Inbox when you reconnect to your server.

  • The Download Headers and then Full Items setting downloads all the message headers quickly, and then downloads all the message bodies and attachments. This option uses only slightly more bandwidth than Download only headers.

  • The Download Headers setting does not download the body of a message or its attachments until you preview or open the message. This is the best option if your connection is very slow or you pay for every byte you download.

In addition, you can choose to download only the message headers when you are working on a slow connection.

Important 

This exercise requires that you be connected to a Microsoft Exchange Server network.

In this exercise, you will turn on Cached Exchange Mode, switch between working online and offline, and access the available connection modes.

BE SURE TO start Outlook with an active network connection before beginning this exercise.

  1. On the Tools menu, click E-mail Accounts.

  2. In the E-mail Accounts Wizard, select the View or change existing e-mail accounts option, and then click Next.

  3. In the Outlook processes e-mail for these accounts in the following order box, click Microsoft Exchange Server, and then click the Change button.

  4. On the Exchange Server Settings page, select the Use Cached Exchange Mode check box.

  5. If a message appears saying you must restart Outlook for the changes to take effect, click OK.

  6. In the E-mail Accounts Wizard, click Next, and then click Finish.

  7. Exit and restart Outlook.

  8. On the Outlook status bar in the lower-right corner of the Outlook window, click Connected.

    You can click any of the options on the shortcut menu to change the way Outlook downloads items.

  9. On the shortcut menu, click Work Offline.

    The Outlook status bar shows that you are now working offline. You still have a network connection to your Exchange server, but Outlook will not upload or download any items until you turn the Work Offline feature off.

  10. Click the Offline indicator, and then click Work Offline again.

    The Outlook status bar shows that you are working online.
