Looking at Calendars in Different Ways

 Microsoft Office Specialist   To help you stay on top of your schedule, you can view your Calendar in a variety of ways:

  • Day view displays one day at a time, separated into half-hour increments.

  • Work Week view displays your work week in columnar format. By default, the work week is defined as 8:00 A.M. to 5:00 P.M. Monday through Friday. You can define your work week as whatever days and hours you want.

  • Week view displays one calendar week at a time.

  • Month view displays five weeks at a time.

By default, your Calendar is displayed in Month view. To change the view setting, click the toolbar button for the view you want.

Outlook's default settings break the day into half-hour increments, with the work week defined as 8 A.M. to 5 P.M. Monday through Friday. You can change the Calendar's work week to reflect your own working hours, and you can schedule appointments for any time of any day.

The Date Navigator serves as a handy month calendar and an easy way to view your schedule for specific dates. To view your schedule for a particular date, simply click that date in the Date Navigator.

About Calendar Views

 New in Office 2003-Calendar view   Outlook 2003 offers a streamlined Calendar view that now includes the Date Navigator, a day/time indicator, and the ability to view multiple calendars at once.

Outlook offers a number of ways to view your Calendar. To select the view, on the View menu, point to Arrange By, point to Current View, and then click the view you want.

A calendar-like view of appointments, events, and meetings for the period of time you specify. This is the default view, and it includes the Date Navigator.

Day/Week/Month With AutoPreview

The Day/Week/Month view with the addition of the first line of comment text for each Calendar item.

Active Appointments

A list of appointments and meetings scheduled for today and in the future, showing details in columns.

Events

A list of events, showing details in columns.

Annual Events

A list of annual events, showing details in columns.

Recurring Appointments

A list of recurring appointments, showing details in columns.

By Category

A list of all items, grouped by category, showing details in columns.

In this exercise, you will experiment with the different ways to view and move around in your calendar.

Important 

You can work through this exercise in your own Calendar or in the practice Calendar. If you use your own Calendar and don't already have appointments on it, you will not be able to see all the categories discussed here.

USE the SBSCalendar data file in the practice file folder for this topic. This practice file is located in the My Documents\Microsoft Press\Outlook 2003 SBS\Calendar folder and can also be accessed by clicking Start/All Programs/Microsoft Press/Outlook 2003 Step by Step.

BE SURE TO start Outlook before beginning this exercise.

OPEN the SBSCalendar data file from within Outlook.

  1. In the Navigation Pane, click the Folder List icon.

  2. In the Folder List, expand the SBS Calendar data file, and then click the subordinate Calendar.

    By default, the Calendar displays Day view. The current day is shaded in the Date Navigator.

    Tip 

    You can increase the size of the Navigation Pane to display two months in the Date Navigator. With your Calendar displayed in Outlook, point to the vertical frame divider between the Navigation Pane and the Calendar. When the pointer changes to a double-headed arrow, drag the frame to the right.

  3. In the Date Navigator, click the arrows to scroll to January 2004. Then click 8.

    The Calendar displays the schedule for January 8th, 2004.

  4. On the toolbar, click the Work Week button.

    The Calendar displays the schedule for your currently defined work week. The work week is shaded in the Date Navigator.

  5. On the toolbar, click the Week button.

    The Calendar displays the schedule for the seven-day week. The week is shaded in the Date Navigator.

  6. In the Date Navigator, click in the margin to the left of the week starting January 11.

    The Calendar now shows the schedule for that week.

  7. On the toolbar, click the Month button.

    The Calendar shows the schedule for the current month. The month is shaded in the Date Navigator.

    Notice that months are differentiated by alternating colors.

  8. On the View menu, point to Arrange By, point to Current View, and then click Active Appointments.

    The recurring and non-recurring appointments in the practice calendar are dis played. You can sort the appointments by clicking the column headers.

  9. On the View menu, point to Arrange By, point to Current View, and click By Category.

    Calendar items are displayed in a columnar list, grouped by category.

  10. Investigate any other views that interest you. When you finish, on the View menu, point to Arrange By, point to Current View, and then click Day/Week/Month.

  11. On the toolbar, click the Day button to display a one-day view.

  12. On the toolbar, click the Go to Today button to display today's calendar page.
