Chapter 2 - Modifying a Report

If you already have Crystal Reports open, you can locate and open the report using the standard Windows File > Open command, then browse to the file’s location and open it. Crystal supports the normal Windows keyboard shortcuts as well, like Ctrl+O for opening a file.

Tip

A very handy keyboard shortcut is Ctrl+S, which saves your current work and leaves you in Editing mode. Save early and save often so you always have a recent copy of your report to return to should anything unexpected happen!

On the other hand, if you are just starting up the Crystal Reports software, you will see the Welcome dialog unless you disabled this feature. The Welcome screen, shown in Figure 2.1, lists in the scrollable area at the bottom of the window the most recent reports you’ve worked on. By clicking the Open An Existing Report radio button, you can select the report you want from the list and open it.

You’ll recall that the report you built in Chapter 1, “Building Your First Report,” answered the business question of how many resorts the VistaNations company has and what their names are. The boss was thrilled with the report you built (most likely because she had no idea how to do it), and when she looked at it said, “This is exactly what I need! But….” In the world of developers and customers, the word But always means they need something changed! The new business question is a bit more complex.

Business Question: We need the resort region, resort code, and mailing information for all the resorts sorted by resort name, with totals grouped by region and showing which ones are in North America.

To satisfy this business question, we’ll need a few more fields, a few changes in the sort order, and some additional summarization.
