Publishing to a Shared Location


Another quick and easy method you can use to publish form templates is to publish them to a shared location on your organization’s network. A shared location could be a shared drive that your system or network administrator has created for you or it could be a file share on a file server that everyone in the organization has access to. Regardless of which type of shared location you set up, the publishing process is the same and relatively trouble-free.

To publish an InfoPath form template to a shared location, open your form in design mode and select File | Publish to open the Publishing Wizard. Click Next, select the To a Shared Folder option, and then click Next. This opens a wizard page similar to the one shown previously in Figure 14-1 for publishing to a web server, again prompting you for the path and filename for your form, as well as the form name. When you specify the path and filename, you need to enter the complete network path and filename for your form, including the .xsn file extension.

After you enter the requested information, click Next to continue to the next wizard page, where you enter the URL that end users need to use to open this file. Like before, click Finish to open a confirmation page; click Finish again to complete the publishing process.

For users to be able to fill out the forms you have published, they need to open the form from within InfoPath. Use File | Open to open the form from the shared location. They can then fill out the form as they normally would and, when finished, save or submit their form data according to the form’s design.

Tip

The same security principle applies here—create a fully trusted form if the form needs to access local system resources.
