Using IMP

If you have the network connection set up, and IMP properly configured, you are presented with a logon screen as shown in Figure 6.14. Enter the username, the password, and click the logon button.

Reading Email

After you are logged on, the Inbox folder is shown (see Figure 6.15). All the messages available to the user are shown. Unread messages have an envelope icon beside them. To delete a message, click the check box beside the message and click the hyperlink Delete selected mail. A deleted message has a trash can symbol beside it. After a message has been deleted, it is not removed from the system until you click the Empty trash hyperlink.

To read a message, a user clicks the subject line hyperlink. The window changes as shown in Figure 6.16, opening the message in a scrolling frame.

The user is given new options while reading a message. The user can delete mail, reply to the sender of an email, reply to all addresses in a received email, forward mail, bounce a message back to the sender, save the mail message, or add an email address to the user's address book. The mail message can be moved or copied to a different folder.

Replying to Messages

While reading a message, a user can choose to reply to the message. When the Reply hyperlink is clicked, the window shown in Figure 6.17 appears.

The reply address is listed in the To field. One or more addresses can be put in the CC field. Messages will be copied to these folks. The BCC field is for blind copies sent to people. Normally, email recipients do not see the other BCC recipients when they open a message.

Composing Messages

When the user clicks the Compose hyperlink on the left side of the screen, the window shown in Figure 6.17 opens. In this case, the To address field is not filled in. The user can use the personal address book to enter an address in the To, CC or BCC fields. To do this, the user clicks the Contacts hyperlink. When this is done, the screen in Figure 6.18 is shown.

To add a new address to the address book, the user enters the email address in the Address field, such as phil@somewhere.com. A nickname for the user is entered in the Nickname field. The Nickname is used to look up an address when briefly entered in the To, CC, or BCC fields. The addressee's full name is entered in the Fullname field. The address is stored by clicking the Submit button.

To insert an address, the drop-down list of addresses is scrolled to the correct address. The address information for the selected contact appears in the fields (see Figure 6.18). The user clicks any of the Insert into To: buttons to insert the address into the email message. This window stays open until the user clicks the Close Window hyperlink.

Attachments

Attaching files is a two-step process. First, you click the Browse button. The Choose file dialog shown in Figure 6.19 appears. Select your file and click Open. Repeat the process to add other files to the list.

When you have the list of files, click the Attach button. This adds the contents of the files to the mail message. The file(s) will show in a list under the Attach button, with the size of each file, and the total number of bytes attached, as shown in Figure 6.20.

If you have added the wrong file, click the check box next to the filename(s) and click the Delete Attachments to remove the file(s).

When you are finished, click the Send Message button. This will cause the message with attached files to be sent. This can be a lengthy process, especially over a dial-up modem.
