Scheduling an Appointment

If necessary, click Calendar in the Outlook bar to switch to Outlook's Calendar feature. Today's schedule is shown by default.

Click the Week button on the Calendar toolbar to view your weekly schedule. (You can also click the Today, Day, Work Week, or Month views.)

Double-click the day on which you want to schedule an appointment to open an Event window.

Type a subject and location for the event in the Subject and Location fields (the subject you type immediately appears in the Event window's title bar).

INTRODUCTION

In the Outlook Calendar, you can switch the view from today's schedule to the schedule for a different day, a week-at-a-glance, and a month-at-a-glance. You can schedule appointments and events such as meetings, doctor appointments, and conferences in any of these Calendar views. You can even move the appointments and events around and set up Outlook to send you reminders for appointments so you don't miss them. If you need to immediately go to today's calendar display, click the Today button on the Standard toolbar. This takes you to today's date, no matter which view you are in.

TIP

Organizing Your Calendar

To see suggestions about how you can better organize your calendar, click the Organize button on the Standard toolbar (it looks like blocks falling into place, to the left of the Address Book).

Click the down arrow next to the Label field and select the type of event you want to schedule for example, select Phone Call.

Click the down arrow to the right of the second Start Time field and choose a start time for the event; do the same in the End Time field.

Click the Save and Close button in the Event window's toolbar; the event is displayed in your Outlook Calendar.

Outlook reminds you 15 minutes before the appointment. Click Dismiss to accept the reminder, Snooze to be reminded later, or Open Item to change the event information.

TIP

Long Appointment Description

If the description of your appointment is too long to read in the Week or Month view, simply move the mouse pointer over the appointment; the complete description appears in a ScreenTip.

TIP

Removing an Appointment

To remove an appointment, click the appointment to select it and then click the Delete button on the Standard toolbar. Of course, if you delete the wrong appointment by accident, you can always open the Edit menu and select Undo to restore it.
