Click the down arrow next to the New button on Outlook's Standard toolbar and select Mail Message from the menu that appears.
An untitled message window appears. Click the To button to open the Select Names dialog box. (Or, type the recipient's email address in the To field and go to step 6.)
The Select Names dialog box opens. In the Name list, click the name of the person to receive your message. To select multiple names, Ctrl+click each name.
Click the To button to place the selected name in the message window's To field.
INTRODUCTION
Creating and sending email messages will likely be the task you perform most often in Outlook. Fortunately, creating a new message is easy. You can attach files to your messages (covered later in this part), specify the level of a message's importance, and choose different recipients from your Outlook Contacts list.
TIP
Using Cc and Bcc
In addition to containing a To field, message windows also contain Cc (carbon copy) and Bcc fields. Enter a recipient in the Bcc field if you want her to receive the message without the primary recipient's knowledge.
TIP
Changing the Message
You can change the text in the To, Cc, Bcc, Subject, and Message fields at any time before you send your message. Simply click in the desired text area and type the correct information.
The selected recipients are added to the To field in the Select Names dialog box; click OK to add the names to the To field in the message window.
Click in the Subject area and type a brief but descriptive subject for your message.
Click in the body of the message window and type your message.
Click the Send button to send your message.
TIP
Checking Spelling
Any words in your message text that aren't in the Office dictionary will appear underlined in red; any grammatically incorrect sentences will appear with a green underline. To run a spell check on your message, press the F7 key.
TIP
Indicating Importance
If the message you are sending is very important, click the Importance: High button on the Standard toolbar (it's the one with a red exclamation mark). That way, when the message arrives in the recipient's Inbox, it will be flagged.
TIP
Saving to Draft
If you try to close a message window before you send it, you can save it in the Drafts folder. To access it later, click the Drafts folder in the Personal Folders list. You might need to expand the list of All Mail Folders.
