Setting Options in the Print Dialog


The Print dialog (Figure 36)enables you to set printing options and send the print job to the printer. Like the Page Setup dialog, the Print dialog is a standard dialog, but two things can cause its appearance and options to vary:

  • Print options vary depending on the selected printer.

  • Additional options may be offered by specific applications.

This section explains how to set the options available for most printers and applications.

Tips

  • If your Print dialog includes options that are not covered here, consult the documentation that came with your printer.

  • For information about using Print options specific to an application, consult the documentation that came with the application.

  • If an application offers application-specific print options, the application name will appear on the third pop-up menu (Figures 38a & 38b) in the print dialog. For example, a Microsoft Word option on that menu would enable you to set Word-specific options.

To open the Print dialog

Choose File > Print (Figures 28a, 28b, and 28c), or press . The Copies & Pages pane of the Print dialog appears (Figure 36).

To select a printer

In the Print dialog (Figure 36), choose a printer from the Printer pop-up menu Figure 37).

Tips

  • The Printer pop-up menu (Figure 37) should list all of the printers that appear in the Printer Setup Utility's Printer List window (Figure 2).

  • Choosing Add Printer List from the Printer pop-up menu (Figure 37) opens Printer Setup Utility's Printer Browser window (Figure 6), which is discussed earlier in this chapter.


To set Copies & Pages options

1.

In the Print dialog, choose Copies & Pages from the third pop-up menu (Figure 38a or 38b) to display Copies & Pages options (Figure 36).

2.

In the Copies field, enter the number of copies of the document to print.

3.

To collate multiple copies, turn on the Collated check box.

4.

In the Pages area, select either the All radio button to print all pages or select the From radio button and enter values in the From and to fields to print specific pages.

To set Layout options

1.

In the Print dialog, choose Layout from the third pop-up menu (Figure 38a or 38b) to display Layout options (Figure 39).

2.

To set the number of pages that should appear on each sheet of paper, choose an option from the Pages per Sheet pop-up menu (Figure 40). The preview area of the dialog changes accordingly (Figure 41).

3.

To indicate the order in which multiple pages should print on each sheet of paper, select a Layout Direction option. The preview area of the dialog changes accordingly.

4.

To place a border around each page, choose an option from the Border pop-up menu (Figure 42).

To schedule a print job

1.

In the Print dialog, choose Scheduler from the third pop-up menu (Figure 38a or 38b) to display the Scheduler pane (Figure 43).

2.

Select one of the Print Document options:

  • Now prints the document immediately.

  • At enables you to specify a time at which the job should be printed. Be sure to enter a time in the box beside this option.

  • On Hold sends the document to the print queue on hold. You must manually release the document for printing for it to print.

3.

Choose one of the options from the Priority pop-up menu (Figure 44).

Tips

  • The Priority option in step 3 determines when your print job will print when you send it to a printer that already has print jobs waiting in the queue.

  • If you're one of many people printing to a shared network printer, don't abuse the Priority feature by setting the highest priority for all of your documents. Believe it or not, other people print important stuff, too!

  • I tell you about print queues, including how to work with print jobs that are on hold, later in this chapter.


To set Paper Handling options

1.

In the Print dialog, choose Paper Handling from the third pop-up menu (Figure 38a or 38b) to display the Paper Handling pane (Figure 45).

2.

Select a Page Order option:

  • Automatic prints pages in the order determined by the software. This is normally first to last.

  • Normal prints pages in the order of first to last.

  • Reverse prints pages in the order of last to first.

3.

Select a Print option:

  • All Pages prints all pages.

  • Odd numbered pages prints only odd numbered pages.

  • Even numbered pages prints only even numbered pages.

4.

Select a Destination Paper Size option:

  • Use document's paper size uses the size selected in the Page Setup dialog (Figure 29).

  • Scale to fit paper size enables you to choose a specific paper size from the pop-up menu. The menu includes all paper sizes supported by the selected printer. Turn on the Scale down only check box to allow the document to be reduced but not enlarged to fit.

Tips

  • The Reverse page order option is useful if your printer places documents face up in the printer tray when printed. If your printer does this, however, the Automatic option may ensure that pages print in the right order. Experiment with a short document and see for yourself!

  • Some paper handling options may also be offered in application-specific print settings. For example, Microsoft Word enables you to print just odd or just even pages in its application-specific options.


To set ColorSync options

1.

In the Print dialog, choose ColorSync from the third pop-up menu (Figure 38a or 38b) to display the ColorSync pane (Figure 46).

2.

Choose an option from the Color Conversion pop-up menu (Figure 47):

  • Standard tells the application you're using to control the color.

  • In Printer tells the printer to control the color.

3.

If desired, choose an option from the Quartz Filter pop-up menu (Figure 48).

Tips

  • ColorSync is a color matching technology that enables you to see accurate color on screen for documents that you print.

  • Quartz filters can modify printer output by adjusting color, adding visual effects, or changing resolution.

  • I discuss ColorSync and the ColorSync Utility briefly in Chapter 22.

To set Cover Page options

1.

In the Print dialog, choose Cover Page from the third pop-up menu (Figures 38a and 38b) to display Cover Page options (Figure 49).

2.

Select one of the Print Cover Page options:

  • None does not print a cover page. If you select this option, you can skip the remaining steps.

  • Before document prints a cover page at the beginning of the document.

  • After document prints a cover page at the end of the document.

3.

Choose an option from the Cover Page Type pop-up menu (Figure 50).

4.

If desired, enter information in the Billing Info box. Whatever you enter will print on the cover page.

Tips

  • A cover page is a single sheet of information about the print job that can be printed at the beginning or end of the job.

  • Cover pages waste paper! If you don't need a cover page, don't print one!


To set Error Handling options

1.

In the Print dialog, choose Error Handling from the third pop-up menu (Figure 38a) to display Error Handling options (Figure 51).

2.

To specify how the printer should report PostScript errors, select one of the PostScript Errors options.

3.

To specify how the printer should handle an out-of-paper situation for a multiple-tray printer, select one of the Tray Switching options.

Tips

  • These options are only available for PostScript printers.

  • Tray switching options are only available for printers with multiple paper trays.


To set Paper Feed options

1.

In the Print dialog, choose Paper Feed from the third pop-up menu (Figure 38a) to display Paper Feed options (Figure 52).

2.

To specify how paper trays should be used for paper feed, select one of the radio buttons.

3.

To specify which paper tray(s) should be used for paper feed, choose options from the pop-up menu(s).

Tip

  • The options offered in the Paper Feed pane of the Print dialog (Figure 52) vary depending on your printer. The options here are for an HP LaserJet 2100TN.


To set Finishing options

1.

In the Print dialog, choose Finishing from the third pop-up menu (Figure 38a) to display Finishing options (Figure 53).

2.

Set options as desired.

Tip

  • Finishing options (Figure 53) vary from printer to printer if they are offered at all. The options here are for an HP LaserJet 2100TN.

  • For more information about finishing options offered by your printer, consult the manual that came with your printer.


To set Image Quality options

1.

In the Print dialog, choose Image Quality from the third pop-up menu (Figure 38a) to display Image Quality options (Figure 54).

2.

Use the pop-up menus to set image quality options.

Tips

  • The options offered in the Image Quality pane of the Print dialog (Figure 54) vary depending on your printer. The options here are for an HP LaserJet 2100TN.

  • For more information about image quality options offered by your printer, consult the manual that came with your printer.


To set Print Settings options

1.

In the Print dialog, choose Print Settings from the third pop-up menu (Figure 38b) to display the Print Settings pane (Figure 55).

2.

Select the type of paper you will print on from the Media Type pop-up menu (Figure 56).

3.

For a color printer, select an Ink option.

4.

Set Mode options as desired. These options vary from printer to printer; check the documentation that came with your printer for details.

To set Color Management options

1.

In the Print dialog, choose Color Management from the third pop-up menu (Figure 38b) to display Color Management options (Figure 57).

2.

To indicate the color management method, select one of the radio buttons near the top of the pane.

3.

If you selected Color Controls, set options in the dialog as desired.

Tips

  • Color management methods and options are far beyond the scope of this book.

  • ColorSync is discussed in Chapter 22.


To view a summary of settings

1.

In the Print dialog, choose Summary from the third pop-up menu (Figures 38a and 38b).

A summary of options in each settings category appears.

2.

Click the triangle to the left of a settings category to view its settings (Figure 58).

To save settings as a preset

1.

In the Print dialog (Figure 36), choose Save As from the Presets pop-up menu (Figure 59).

2.

Enter a name for the settings in the Save Preset dialog that appears (Figure 60).

3.

Click OK.

The name you entered is added to the Presets pop-up menu and chosen (Figure 61).

Tip

  • It's a good idea to save settings if you often have to change the Print dialog's settings. This can save time when you need to print.


To save changes to preset settings

In the Print dialog (Figure 36), choose Save from the Presets pop-up menu (Figure 61). Your changes to the preset settings are saved.

To use preset settings

In the Print dialog (Figure 36), choose the name of the preset settings you want to use from the Presets pop-up menu (Figure 62).

All Print dialog settings are set according to the saved settings.

To delete a preset setting

1.

In the Print dialog (Figures 36), choose the name of the preset settings you want to delete from the Presets pop-up menu (Figure 61).

2.

Choose Delete from the Presets pop-up menu (Figure 61).

The preset setting is deleted.
