Print Preferences


Print preferences (Figure 20) control the way documents print. There are three categories: Printing options, Include with document, and Options for current document only.

Printing options

Printing options let you specify how the document content is updated and printed:

  • Update fields automatically updates Word fields before you print. This feature prevents you from printing a document with outdated field contents.

  • Update links automatically updates information in linked files before you print. This feature prevents you from printing a file with outdated linked file contents.

  • Reverse print order prints documents in reverse orderlast page first. This might be useful if your printer stacks output face up.

Include with document

Include with document options enable you to print or suppress specific information from the document:

  • Document properties prints the document's summary information on a separate page after the document. This information is stored in the Summary tab of the Properties dialog (Figure 21).

  • Field codes prints field codes instead of field contents.

  • Drawing objects prints objects drawn with Word's drawing tools.

  • Hidden text prints text formatted as hidden.

Options for current document only

As the name implies, Options for current document only affect the way the active document prints:

  • Print data only for forms prints just the information entered in fill-in formsnot the form itself.

  • Fractional widths adjusts the spacing of proportionally spaced fonts like Helvetica and Times. This may improve the appearance of these fonts when printed.

  • Print PostScript over text prints any PostScript code in a converted Word for Macintosh document (such as a digital watermark) on top of document text instead of underneath it. This option only works with PostScript printers.
