View Preferences

The View pane of the Preferences dialog (Figure 3) offers options in three categories: Show, Nonprinting characters, and Window.

Figure 3. The default settings in the View pane of the Preferences dialog when in Normal view.

Show

Show options determine what Word interface elements appear onscreen:

  • Drawings displays objects created with Word's drawing tools. Turning off this option can speed up the display and scrolling of documents with many drawings. This option only applies to Online and Page Layout views.

  • Object anchors displays an anchor marker indicating that an object is attached to text. An object's anchor can only appear when the object is selected, this check box is turned on, and nonprinting characters are displayed. You must turn on this option to move an anchor. This option only applies to Online and Page Layout views.

  • Text boundaries displays dotted lines around page margins, text columns, and objects. This option only applies to Online and Page Layout views.

  • Image placeholders displays graphics as empty boxes. Turning on this option can speed up the display of documents with a lot of graphics.

  • Text animation displays animation applied to text. Turning off this option displays animated text the way it will print.

  • ScreenTips displays information or comments in boxes when you point to buttons or annotated text.

  • Highlight displays text highlighting.

  • Bookmarks displays document bookmarks by enclosing their names in square brackets. If displayed, the bookmarks do not print.

  • Field codes displays field codes instead of results.

  • Field shading enables you to specify how you want fields shaded. The options are:

    • Never never shades fields.

    • Always always shades fields.

    • When selected only shades a field when it is selected.

  • Draft font displays most character formatting as bold or underlined and displays graphics as empty boxes. This option only applies to Normal and Outline views.

  • Contact Tags displays purple dotted underlines beneath contacts inserted from your Entourage contacts database. Hold down and click a contact tag to display a menu of options (Figure 4).

Figure 4. When you display the contextual menu for a contact tag, you see additional options not available for regular text.

Nonprinting characters

Nonprinting characters options determine which (if any) nonprinting characters appear onscreen (Figure 5).

  • Tab characters displays gray right-pointing arrows for tab characters.

  • Spaces displays tiny gray dots for space characters.

  • Paragraph marks displays gray backwards Ps (like this: ) for return characters.

  • Optional hyphens displays L-shaped hyphens for optional hyphen characters.

  • Hidden text displays text formatted as hidden with a dotted underline.

  • All displays all nonprinting characters. Turning on this option is the same as turning on the Show/Hide button on the Standard toolbar.

Window

Window options determine what interface elements appear on Word document windows.

  • Status bar displays the status bar at the bottom of the window.

  • Live Word Count displays word count information in the status bar. The Status bar option must be turned on to enable this option.

  • Vertical ruler displays a ruler down the left side of the window in Page Layout view. This option only applies to Page Layout view.

  • Style area width enables you to specify a width for the style area. When set to a value greater than 0, the style area appears along the left side of the window and indicates the style applied to each paragraph in the document (Figure 6). This option only applies to Normal and Outline views.

  • Horizontal scroll bar displays a scroll bar along the bottom of the window.

  • Vertical scroll bar displays a scroll bar along the right side of the window.

  • Wrap to window wraps text to the width of the window rather than to the right indent or margin.

  • Header and Footer pane displays a document's header or footer in a special pane within the window (Figure 7). This option only applies to Normal and Outline views.
