Change Tracking


Word's Change Tracking feature makes it possible for multiple reviewers to edit a document without actually changing the document. Instead, each reviewer's markups are displayed in color in the document window.

At the conclusion of the reviewing process, someone with final say over document contents reviews all of the edits and either accepts or rejects each of them. The end result is a final document that incorporates only the accepted changes.

To turn change tracking on or off

1.

Choose Tools > Track Changes > Highlight Changes (Figure 28).

In the Highlight Changes dialog that appears (Figure 29), toggle check boxes to set change tracking options:

  • Track changes while editing enables the change tracking feature. You must turn this check box on to begin tracking changes.

  • Highlight changes on screen displays changes onscreen using revision marks. With this check box turned off, you won't see revision marks when you make changes.

  • Highlight changes in printed document prints revision marks.

Click OK.

Tip

  • You can tell whether change tracking is enabled by looking at the Track Changes button on the Reviewing toolbar (Figure 30). If the button is selected, change tracking is enabled.

To track changes

1.

Turn on change tracking as instructed on the previous page.

2.

Make changes to the document.

Your changes appear as colored markups and a vertical line appears in the left margin beside each edit (Figure 31).

Tip

  • If the document is edited by more than one person, each person's revision marks appear in a different color. This makes it easy to distinguish one editor's changes from another's.


To view revision information

Point to a revision mark. A colored box with information about the change appears (Figure 32).

Tip

  • This is a handy way to see who made a change and when it was made.


To accept or reject changes

1.

If necessary, choose View > Toolbars > Reviewing to display the Reviewing toolbar (Figure 30).

Then:

Click the Next or Previous button on the Reviewing toolbar to select the next or previous change (Figure 33).

Accept or reject the selected change:

  • To accept the change, click the Accept Change button on the Reviewing toolbar. The change is incorporated into the document and its revision mark disappears (Figure 34a).

  • To reject the change, click the Reject Change/Delete Comment button on the Reviewing toolbar. The revision mark disappears (Figure 34b).

Repeat steps 2 and 3 until all changes have been reviewed and either accepted or rejected.

Accept or reject all changes:

  • To accept all changes, choose Accept All Changes in Document from the Accept Change button's menu on the Reviewing toolbar (Figure 35). All revisions are incorporated into the document and the revision marks disappear.

  • To reject all changes, choose Reject All Changes in Document from the Reject Change/Delete Comment button's menu on the Reviewing toolbar (Figure 36). The revision marks disappear and the document is returned to the way it was before change tracking was enabled.
