Viewing Outlines


Buttons on the Outlining toolbar (Figure 6) enable you to change your view of an outline:

  • Collapse headings to hide subheadings and body text.

  • Expand headings to show subheadings and body text.

  • Show only specific heading levels.

  • Show all heading levels.

  • Show only the first line of text in each paragraph.

  • Show all lines of text in each paragraph.

  • Show or hide formatting.

Tip

  • These viewing options do not change the document's contentjust your view of it.


To collapse a heading

1.

Click the marker to the left of the heading that you want to collapse to select the heading, its subheadings, and its body text (Figure 28).

2.

Click the Collapse button on the Outlining toolbar. The heading collapses to hide the lowest displayed level (Figure 29).

3.

Repeat step 2 until only the levels you want to see are displayed (Figure 30).

Or

Double-click the marker to the left of the heading that you want to collapse. The heading collapses to its level (Figure 30).

Tip

  • When you collapse a heading with subheadings or body text, a gray line appears beneath it to indicate hidden items (Figures 29 and 30).


To expand a heading

1.

Click the marker to the left of the heading that you want to expand to select the heading and all of its subheadings and body text.

2.

Click the Expand button on the Outlining toolbar. The heading expands to display the highest hidden level.

3.

Repeat step 2 as desired to display all of the levels you want to see.

Or

Double-click the marker to the left of the heading that you want to expand. The heading expands to show all levels.

To view only certain heading levels

On the Outlining toolbar (Figure 6), click the button that corresponds to the lowest level of heading that you want to display.

The outline collapses or expands to show just that level (Figures 31 and 32).

To view all heading levels

On the Outlining toolbar (Figure 6), click the Show All Headings button.

The outline expands to show all headings and body text (Figure 33).

To display only the first line of every paragraph

Click the Show First Line Only button on the Outlining toolbar.

The Outline view changes to display only the first line of each heading and paragraph of body text (Figure 34).

Tip

  • The Show First Line Only button works like a toggle switch. When turned on, only the first line of every paragraph is displayed. When turned off, all lines of every paragraph are displayed. This button is turned off by default.


To hide formatting

Click the Show Formatting button on the Outlining toolbar.

The Outline view changes to display all headings and body text in the default paragraph font for the Normal style (Figure 35).

Tip

  • The Show Formatting button works like a toggle switch. When turned on, paragraph formatting is displayed. When turned off, all text appears in the default paragraph font for the Normal style. This button is turned on by default.
