Advanced Tasks


Some tasks are performed less frequently but are equally important when using Version Cue. You can access these features by clicking on the Advanced tab (see Figure 11.28).

Workspace Preferences

By default, the workspace of a computer takes on the name of the computer itself. However, you might want to customize the name of the workspace so that others can recognize it more easily. Clicking on Preferences enables you to change the name of the workspace itself (see Figure 11.29). Note that you'll have to stop and then restart the Version Cue CS2 workspace for this change to take effect.

Import Version Cue 1.0 Data

If you're upgrading from a previous version of Version Cue, this is a way to import any existing projects from that version. After you've imported your Version Cue 1.0 projects, you can uninstall Version Cue 1.0 from your computer.

Reset Locks

When you first create a project, you can use the option Enable Lock Protection for This Project, which prevents a user from saving a version when that file is already in use by another user. The Reset Locks feature is needed only when this option is turned on.

At times a file might be locked out because it's in use by a user, even though the user didn't intend for that to happen. For example, a user might have edited a file and performed a Save instead of performing the Save a Version command. In that case, the file remains locked, and others can't open and edit the file until that user saves a version and releases the lock on the file. If that user has already gone home for the day, that could present a problem.

The Reset Lock Protection feature can override the locked file and release it so that others can make edits to the file. In that case, any changes that the original user might have made are not incorporated into the version.

Removing Old Versions

As alluded to earlier in the chapter, saving many versions of a file could easily take up megabytes of hard-drive space. If you know that you will not need versions of a file, you can delete them with the Remove Old Versions feature. Doing this periodically can help prevent you from running out of room on your computer or server.

Backup Version Cue Data

We all know how important backups are. Version Cue enables you to back up specific projects and also an entire workspace (with all projects inside it). A backup administration option enables you to schedule automatic backups as well.

PDF-Based Reviews

Just about everyone sends around PDF files these days to get approvals on designs and ideas. It can be difficult to manage the process of making sure everyone who is supposed to see the PDF file actually gets it. Even more so, trying to keep track of who did or didn't send back comments and sending out reminders isn't just a painit's valuable time that could be spent on other important things. Finally, when several people need to review a document, it can be difficult to have any kind of dialogue or discussion because each person involved in the review isn't aware of comments made by other reviewers.

Version Cue CS2 has the answer to these problems by enabling you to manage and track PDF-based reviews. To use this feature, you first have to create your PDF file (easy from any Creative Suite application, of course) and save it into a Version Cue project. When that's done, you can click on the Version Cue CS2 Review link at the top of the Administration utility page in your web browser, which launches the Adobe Version Cue CS2 Review feature (see Figure 11.30).

Click on the Start a Review link to get started. You then are presented with all of the PDF files that are within your projects (see Figure 11.31). It might help to specify which project you're working with so that you can find your PDF file faster.

Next, specify a deadline for when the review will be complete (setting a date always helps reviewers know when they have to submit their comments by), add a description, and specify which of your users should participate in the review (see Figure 11.32). Click the Next button to go the final screen, where you specify the email that will be sent to reviewers and actually start the review. At any time during the review cycle, you can click on the Documents tab to view the status of the review and see a list of comments made by reviewers (see Figure 11.33).
