Objective 2.3: Connect to Local and Network Print Devices

As a desktop support technician (DST), you will be required to support printers that are on a network. Many help calls are made each day when users are not able to print their documents. Companies still rely on hard copy documents to function, and the cost of connecting an individual printer to each workstation in an organization is cost prohibitive. To solve this problem, printers are connected to workstations or servers and shared with network users. Permissions may be granted to users that allow them to print, remove print jobs that have been queued, and manage printers that are added or removed from the network.

As a DST, you will typically support users that are experiencing printer problems, but you will not manage printers and the permissions assigned to them. You should still have a basic understanding of the components of printing and the permissions that can be assigned to users so that you can troubleshoot and assist users experiencing printer problems.

To answer the questions in this objective, you should know how local and network printers are installed on a workstation and how permissions can be issued. You should also know the importance of printer drivers and the effect a bad printer driver can have on printing.

Objective 2.3 Questions

  1. You are a desktop support technician for a small community college that has 20 workstations running Windows XP Professional. A professor calls your office and frantically shouts that he cannot print his thesis to the printer connected to his workstation. She tells you that she was able to print yesterday morning without any problem, but that she suspects a colleague who used her computer later that evening might have broken her printer. On the way to her office, a receptionist stops you in the hallway and says she is very upset that her printer is out of paper because a professor printed three copies of a thesis to it. What could be the problem, if any, with the professor’s printer?

    1. The professor’s print device is configured to print multiple copies.

    2. The professor needs to contact the network administrator because users are not able to select which print device to use.

    3. She needs to have her NTFS permission for the printer changed from Print to Manage Documents.

    4. The professor needs to make her local printer the default printer.

  2. You are a desktop support technician (DST) for a small car rental agency and have been asked to install a new printer that will connect to the computer through a USB port. All of the computers are running Windows XP Professional. You were told by one of the employees of the company that Plug and Play is not available for the printer. How would you install a printer that is not Plug and Play compliant?

    1. You should use the Add Printer Wizard.

    2. You should select the Printer Options check box in the Systems Properties dialog box.

    3. You should select Printer Options from the Printer And Other Hardware dialog box.

    4. You should select Add A Printer from the Performance And Themes dialog box.

  3. You are a desktop support technician (DST) for a small art supply store, and you receive a telephone call from one of your users saying the printer is printing pages of unreadable text. He turned off the printer and wants you correct the problem. What should you do? (Choose all that apply.)

    1. Install a new printer driver.

    2. Verify that the computer is connected to the printer.

    3. Remove and reinstall the printer.

    4. From the Systems Properties dialog box, select Clear All.

  4. You are a desktop support technician (DST) for a small retail clothing store that has three workstations running Windows XP Professional, three workstations running Windows XP Home Edition, and two workstations running Windows 98. The owner of the company has purchased a $10,000 color laser printer and has connected it to a workstation running Windows 98. Currently, users that wish to print color documents to the printer make copies of the documents from their workstations to a floppy diskette and print the contents at the Windows 98 computer. The owner of the company asks you if there is an easier way to solve her printing problems. What should you tell her?

    1. You should tell her that if she shared the printer that is connected to the workstation running Windows 98, the other users could access it.

    2. You should tell the owner that she must connect the printer to one of the workstations running Windows XP Professional for all users to be able to connect to the color printer.

    3. You should tell the owner that she needs to purchase a print server to solve her goal.

    4. You should tell the user that she will have to install the LPR Network print driver on the workstation running Windows 98 if multiple users need to connect.

  5. You are a desktop support technician (DST) for small retail music store which has eight workstations running Windows XP Professional. A printer is connected to one of the workstations and permissions have been configured by the network administrator. One of the sales managers starts a print job that is using reams of paper. He is nowhere to be found, and the attempts of the assistant help desk person of turning the printer on and off does not stop the print job. The administrator is on leave for two days, but he did inform you before he left that you had the appropriate permissions to remove any print job from the printer queue, but not the permission needed to create or delete printers. Which permission did the administrator give you?

    1. Print permission

    2. Manage Printers

    3. Manage documents

    4. Admin

  6. What user type must a person be logged on as to install a printer on a workstation running Windows XP Home Edition?

    1. User

    2. Administrator

    3. Computer Administrator

    4. Admin

  7. You are a desktop support technician (DST) for a company that has 30 workstations running Windows XP Professional. The company has only one printer that is shared on a secretary’s computer. The secretary wants to know if there is a way that print jobs submitted by her boss can print before other employees’ print jobs. How should you configure the printer?

    1. You could create a logical printer names BOSS, assign the Printer Priority of 1, create a logical printer named EMP, and then assign a Printer Priority of 99. You could then give her boss access to the BOSS printer, and everyone else access to the EMP printer.

    2. You could create a logical printer named BOSS, assign the Printer Priority of 100, create a logical printer named EMP, and then assign a Printer Priority of 1. You could then give her boss access to the BOSS printer, and everyone else access to the EMP printer.

    3. You could create a logical printer named BOSS, assign the Printer Priority of 99, create a logical printer called EMP, and then assign a Printer Priority of 1. You could then give her boss access to the BOSS printer and everyone else access to the EMP printer.

    4. You will have to purchase two different printers.

Objective 2.3 Answers

  1. Correct Answers: D

    1. Incorrect: In this scenario the professor is attempting to print a document to her local printer, but the document is being sent to a network printer. A quick solution would be to make her local printer the default printer by clicking Start and selecting the Printers And Faxes option from the menu. You can then right-click the local printer you wish to print to and choose the Set As Default Printer option from the menu.

    2. Incorrect: In this scenario, the user needs to print to her local printer. Because the document was being sent to the receptionist printer, it is obvious that she has access to multiple printers.

    3. Incorrect: This is not a permissions issue, but an issue of which printer was selected as the default printer. The person that used the professor’s computer later in the evening most likely changed the default printer to the network printer located in the receptionist’s office and forgot to change it back to the professor’s local printer after printing.

    4. Correct: You can make a local printer the default printer by clicking Start and selecting the Printers And Faxes option from the menu. You then right-click the local printer you wish to print to and choose the Set As Default Printer option from the menu.
