Using Slides from Another Slide Show

If you make a lot of presentations, you might find that you can use certain slides over again, sometimes with only minor modifications. Learning to import slides from other slide shows can save you time in the long run.

To import slides from another slide show, follow these steps:

  1. Position the insertion point in the outline where you want to insert the new slides.

  2. Choose Insert, Slides from Files. PowerPoint displays the Slide Finder dialog box (see Figure 4.10, which already shows slides from a selected slide show).

  3. Type the name of the PowerPoint slide show you want to use or click the Browse button to look for the slide show. After you type or find the name, click Display to see thumbnails of the slides in that show (refer to Figure 4.10).

  4. Scroll through the gallery of slides until you find the one you want. Click it once to select it. You can continue to look for and select other slides and insert them all at once.

  5. Choose the Keep Source Formatting option on the Slide Finder dialog box if you want to import the slide's design and other formatting. Otherwise, PowerPoint imports only the slide's text.

  6. Choose Insert to insert the selected slides or choose Insert All to insert all of the slide show's slides. PowerPoint inserts them into the presentation you're working on.

At this point you might have to edit the text or rearrange the slides, but in the meantime, you've saved yourself considerable time and effort.

The Absolute Minimum

In this chapter, you have learned that it's a good idea to do a little planning and organizing before setting out to create slide show slides. In particular, you did the following:

  • You learned how important it is to size up the target audience before you prepare a presentation.

  • You explored PowerPoint's outline feature, which helps you organize the content of a presentation.

  • You learned that it's possible to use in your PowerPoint slide show preexisting text from Word documents or slides from other PowerPoint presentations.

In Chapter 5, "Working with Text Objects," you'll learn how to add and manipulate text objects, in addition to the text placeholders you're already familiar with.
