In 14 Back Up the Organizer Catalog, you learned how to protect both your media files and the information in the catalog by backing it up onto disc. That way, if something goes wrong and the Organizer cannot open the catalog file or if one of the image, audio, or movie files is damaged, you can restore the needed file from the backup disc.

But what if you want to protect only certain media files, and not all the files in the catalog? Or what if you want to share particular media files with friends or familydo you have to back up the entire catalog to disc? Well, the answer is no. In this task, you'll learn how to copy just the items you want onto CD-ROM or DVD discs.

During the process of creating the CD or DVD, you can instruct the Organizer to change the status of the items to offline. If you choose this option, the Organizer copies the files from your hard disk to the CD or DVD, creates low-resolution copies of any image files for display purposes within the photo well, and then removes the files from the hard disk. Archiving files in this manner frees up hard disk space and yet still enables you to continue to view and work with those images, audio files, and movie files within the catalog. Offline images are marked with a small CD icon; if you attempt to edit one of these images or to use any offline media file in a creation, you'll be prompted to insert the disc onto which the original copies were transferred.

Select Items to Copy or Move

Only the currently displayed items are archived, so if the items you want to archive are the only ones displayed, skip this step.

If you want to copy or move only particular media files to the disc, select them in the Organizer first. You can select a contiguous group of items by pressing Shift, clicking the first item in the group, and then clicking the last item. To select noncontiguous items, press Ctrl and click each thumbnail. If the catalog is sorted by batch or folder, you can click the gray bar above a group to select all the items in that group. (See 18 Sort Items for more information.)

TIP

If no items are selected, the Organizer copies/moves only those items currently displayed in the photo well. Rather than selecting individual items to copy/move, you can use the Find bar to display just the items you want. See 33 About Finding Items in the Catalog for more help.

Choose File, Burn

Choose File, Burn from the menu bar. The first page of the Burn/Backup wizard appears.

Choose Copy/Move Files

In Step 1 of the Burn/Backup wizard, choose the Copy/Move Files option (if needed) and click Next to continue.

Set Offline Options

NOTE

Creations are not copied to the disc even if they are selected.

In Step 2 of the Burn/Backup wizard, set the offline options. For example, if you want to copy images to the CD or DVD and then erase them from the hard disk, enable the Move Files option. The images are then considered "offline," and if you want to access them from within the Organizer, you'll have to insert this disc when prompted.

If the selected images contain any stacks or version sets, you can copy or move all the images in the stack or version set (and not just the one used as a thumbnail), by enabling the Copy/Move All Files in the Stack and/or Copy/Move All Files in the Version Set options.

After selecting the offline options, insert a disc if you haven't already and click Next to continue.

Select Drive

In Step 3 of the Burn/Backup wizard, select the CD-ROM or DVD drive to which you want to copy the media files from the Select Destination Drive list.

NOTE

You can copy items only to a CD-ROM or a DVD, and not to the hard disk.

Type Name and Click Done

In the Name text box, type a name (up to 70 characters) for the collection of items you want to copy. Use a name that will remind you later on which items are contained on the discs. I wanted to copy some portraits I recently had taken, so I typed Outdoor Portraits as the name of my collection.

You can adjust the write speed by selecting a different speed from the Write Speed list. You might do this if you have an old CD drive and want to select a speed that matches it, or if you've been having trouble with your CD-R drive and want to compensate for that by having the computer write the data more slowly.

Click Done. If the selection includes any creations, you'll see a warning box telling you that they will not be copied to the disc. Click OK to continue.

7.

Burn the Discs

The Organizer takes a moment to calculate how many discs you'll need and displays that information in the next dialog box. Click Burn to initiate the copy/move process. After a disc is completed, you'll see a reminder to label the disc properly. Click OK to continue. If an additional disc is needed to copy or move the files, you'll be prompted to insert additional discs until the procedure is complete.

Verify the Process

A message appears asking whether you want to verify the new disc. This process takes a while, but it also guarantees that the discs were created properly and can be read (which is time well spent if you later have to recover items from the discs). Click Verify to continue. At the end of the verification process, you'll be told whether everything is okay. If the verification detects any errors, repeat these steps to create a new series of discs. Otherwise, click Don't Verify to return to the Organizer window.
