Finding and Replacing Text and Fonts


You can locate and change specific text in a presentation by using the Find and Replace commands on the Edit. You use the Find tab of the Find and Replace dialog box to locate each occurrence of the text you are looking for, and you use the Replace tab to locate the text and replace it with something else. You can change all occurrences of the text with the click of a button, or only specific occurrences.

The Find and Replace commands include options for more detailed searches:

  • To search for whole words, you select the Find whole words only check box. For example, if the text you are searching for is plan , PowerPoint skips over plant .

  • To search for a word or phrase that exactly matches the case , or capitalization, you specify, you select the Match case check box. For example, if you are searching for IRS , PowerPoint skips over firs .

In addition to finding and replacing text, you can also find and replace a font in a presentation. With the Replace Fonts command, you can replace every instance of one font with another.

In this exercise, you will use the Replace command to find and replace a word, and then you ll use the Replace Fonts command to find and replace a font.

USE the ReplaceText presentation in the practice file folder for this topic. This practice file is located in the  My Documents\Microsoft Press\Office 2003 SBS\WorkingText\Finding folder and can also be accessed by clicking Start/All Programs/Microsoft Press/Microsoft Office System 2003 Step by Step .

OPEN the ReplaceText presentation.

  1. On the Edit menu, click Replace .

    The Replace dialog box appears.

  2. In the Find what box, type Supplies , and press [TAB].

  3. In the Replace with box, type Supplies and equipment .

  4. Select the Match case check box to find the text in the Find what box exactly as you typed it.

  5. Click Find Next .

    PowerPoint finds and selects the word Supplies on Slide 6.

    Tip  

    If the Replace dialog box covers up the selected text, move the dialog box out of the way by dragging its title bar.

  6. Click Replace .

    PowerPoint replaces Supplies with Supplies and equipment . An alert box tells youthat PowerPoint has finished searching the presentation.

  7. Click OK , and then click Close to close the Replace dialog box.

  8. Click a blank area of the slide to deselect the text object on Slide 6.

  9. On the Format menu, click Replace Fonts .

    The Replace Font dialog box appears.

  10. Click the down arrow to the right of the Replace box, and click Arial in the drop-down list.

  11. Click the down arrow to the right of the With box, scroll down the drop-down list, and click Impact .

  12. Click Replace .

    Throughout the presentation, the text formatted with the Arial font changes to the Impact font.

  13. Click Close to close the Replace Font dialog box.

  14. Move to Slide 8.

    At the bottom of the slide, the note in the word processing box is now displayed in the Impact font.

  15. On the Standard toolbar, click the Save button to save the presentation.

CLOSE the ReplaceText presentation.
