CREATING A NEW TASK


Creating a task begins by clicking the New menu item. Enter information about the task on the next screen (see Figure 12.2). A name, which is entered into the Task field, is the only piece of information required in order to save the task.

SETTING A DUE DATE

Each task can have a due date given to it as well. A due date is not the same as creating an appointment for it. A due date is not able to specify a completion time and does not generate a reminder. Because of these things, it may be desirable to create both an appointment and a task so that the due date appears on your Calendar.

The due date is not shown in the Tasks List at all, but the Tasks List can be set to sort the tasks by due date. This is typically the only situation where the due date is useful.

TASK STATUS

There are five possible statuses that a task can have:

  • Not Started

  • In Progress

  • Completed

  • Waiting

  • Deferred

The Tasks List shows the status of each task in the second column in the list. You'll notice that some of these statuses are displayed in the same way, which reduces their usefulness. Also it is possible to change the status of a task in the Tasks List as well, but only two statuses are supported with this. Because of these limitations, the only two statuses most people worry about are In Progress and Completed.

Not Started and In Progress are both shown in the Tasks List as an empty square. Waiting and Deferred are both shown in the Tasks List as a small clock. The Completed status is shown in the Tasks List as a square with a check mark in it.

If a task does not have the Completed status, clicking the Mark Completed menu item or pressing the Space key will change the status of the selected task to Completed. Conversely, if the status is Completed, clicking the Mark In Progress menu item or pressing the Space key will return the status of the selected Task to In Progress.

TASK PRIORITY

Each task can be given a priority as wellHigh, Normal, or Low. Tasks with a High priority are shown in the Tasks List with an exclamation point in the first column. Tasks with a Low priority are shown in the Tasks List with a down arrow. Normal priority Tasks have no icon in the first column of the list.

SETTING A CATEGORY

Tasks can also be assigned and sorted into categories in version 4.0 of the handheld software. It works in exactly the same way for tasks as it does for addresses. If you have not yet read about it, see the section titled "Understanding Categories" in Chapter 10 for more information.
