MANAGING APPOINTMENTS


To interact with any existing appointments, you must be in the Weekly, Daily, or Agenda view. The Monthly view is a nice way to look at your schedule at a glance, but it doesn't provide any ways to directly select a specific appointment.

You can edit appointments, including recurring appointments, as well as delete appointments from the calendar. The following sections detail the specifics of these tasks.

EDITING AN APPOINTMENT

To edit an existing appointment, first scroll the trackwheel until the cursor is on an appointment, then click the Open menu item. The Appointment Details screen appears, which is essentially the same as the New Appointment screen. Many of the details can be edited in the same way as you could when entering a new appointment. When the edits are done, you can save them by clicking the Save menu item.

If the appointment is part of a recurring series of appointments, selecting Open will first display a dialog asking whether you want to edit that specific occurrence, or the entire series of occurrences (see Figure 11.12).

Opening the occurrence allows you to change the details of that specific occurrence and does not affect the rest of the appointments in the series. Opening the occurrence does not show any of the recurrence information in the Appointment Details screen, even though it is part of a recurring appointment.

Opening the series allows you to change the details of all of the appointments in the series. This is the only way you can change the recurrence information, such as if your meeting moved from Tuesdays to Thursdays.

DELETING AN APPOINTMENT

Deleting an appointment works in much the same way as opening an appointment. First select the appointment to delete by scrolling the trackwheel to move the cursor to it, then select the Delete menu item. You can also delete an appointment that is open by clicking the Delete menu item from the Appointment Details screen. In either case a confirmation dialog is shown, though this behavior is configurable. (See the upcoming section "Setting Calendar Options" for more details.) Clicking the Delete button finishes the operation and deletes the appointment.

Appointments that are part of a recurring series will first show a dialog similar to Figure 11.12 asking if you want to delete the entire series or this specific occurrence of the appointment. Deleting one occurrence of the series does not affect the rest of the appointments in the series.

DELETING PRIOR APPOINTMENTS

After a while you will get a lot of appointments that have already happened. Unless you need to know what you did last month, you probably do not need all of these records taking up memory in your handheld. In that case you can delete them all with one click using the Delete Prior menu item. The trick is that this menu item is hidden very well and you may not have ever stumbled upon it even if you've used the calendar application for some time already.

To get to this menu item, you must first change the calendar to the Agenda view. Then scroll the trackwheel to move the cursor to one of the date headers, not an appointment. The Delete Prior menu item is now available on the menu. Clicking it will delete all of the appointments prior to the selected date.
