WORKING WITH CALENDAR VIEWS


When you open the Calendar application for the first time, you are presented with a screen that looks like a standard wall calendar, which shows one month at a time. This may be useful sometimes, but other times you really need to look at the calendar in a different way. Calendar offers four different ways of viewing information. They are

  • Monthly

  • Weekly

  • Daily

  • Agenda

The next few sections explain each view in more detail.

MONTHLY VIEW

This is the default view for the Calendar application. The Monthly view shows you an entire month at a time in a way that is similar to a wall calendar. Each day is given a small square to display the appointments in that day. Obviously, the space is too small for any kind of text that describes your appointments. To let you know what days have appointments, a small bar inside the box is filled up proportionally to the time and duration of an appointment. Appointments marked as All Day appointments show the numeric date in the box as bolded. This view is generally good for people who do not use the Calendar heavily. Figure 11.1 shows an example of the Monthly view.

Scrolling the trackwheel up or down moves the selection box forward or backward one day at a time. You can move the selection box forward or backward one week at a time by pressing and holding the Alt key while scrolling the trackwheel up or down.

Because the selection is one whole day, it's not possible to view a specific appointment from this view. Instead, you must first change the view to a Daily view by clicking the View Appts menu item or the View Day menu item. The difference between the two menu items is that clicking the View Appts menu item and then pressing the Escape key returns you to the previous view. Clicking the View Day menu item and then pressing the Escape key exits the Calendar Application and returns you to the Main Screen.


WEEKLY VIEW

Sometimes you can only think about things one week at a time and the Weekly view is there to show you your week at a glance. The days of the week, Sunday through Saturday, and the numeric dates for each day are displayed at the top. Along the side, the hours of a typical workday are listed from 9 a.m. to 5 p.m. Again, there isn't enough room for any description of the appointments, but the duration of each appointment is blocked out appropriately. Figure 11.2 shows an example of the Weekly view.

Scrolling the trackwheel up or down moves the selection box up or down one hour at a time. You can move the selection box forward or backward one day at a time by pressing and holding the Alt key while scrolling the trackwheel up or down.

DAILY VIEW

Daily view is used to see the details of appointments for a given day. Similar to Weekly view, the times of a typical workday are listed down the side. Next to the times the description of each appointment is shown and a square bracket is used to show the duration of an appointment. If there are any overlapping appointments, the screen shifts slightly and a second square bracket is shown for the other appointment. At the top of the screen, a series of boxes show the days of the week. The solid block indicates the day of the week being viewed. Figure 11.3 shows an example of Daily view.

Scrolling the trackwheel up or down moves the selection box up or down one hour at a time. You can move the selection box to another date by pressing and holding the Alt button while scrolling the trackwheel up or down as well. If you scroll up past the beginning of the day, the selection box moves to the day of the week box at the top of the screen. Clicking the trackwheel on a day of the week moves the Daily view to that day. On either side of the day of the week box are small arrows that can also be selected. Clicking the trackwheel on one of the arrows moves the selected day forward or backward appropriately. If you scroll up more, the selection moves to the date in the title as well. Clicking while any part of the date is selected is the same as clicking the Go To Date menu item, which we will talk about more later.

AGENDA VIEW

Maybe your schedule isn't so busy that you need to worry about seeing your appointments on a daily or weekly basis. Agenda view is probably more well suited for you because it shows each appointment in a list, regardless of how much time may be between them. Similar to the Message List screen, appointments are grouped under a date header and each line shows the start time and subject of the appointment (see Figure 11.4).
