VIEWING ATTACHMENTS


Once the content of a document is retrieved, it will be viewed automatically, but it will also be stored in the cache so that the next time you want to view it, you do not have to retrieve it again. To view an attachment that has been cached, click the Open Attachment menu item and select either Full Content or a Table of Contents node. An item that has been previously saved to the cache has a check mark icon. This icon indicates that the attachment data has already been retrieved. Then click the View menu item to view the document.

Even though there are some differences in the viewers, all viewers have a Find menu item. You can use this to find text within a document and jump the cursor to the line containing that text. It operates the same way as the Find menu item in the Message viewer. Clicking the menu item displays a dialog where you can enter the text to search for and clicking the trackwheel begins the search. If the text was found, the cursor is placed on the line that contains that text and a new Find Next menu item is enabled. Clicking Find Next allows you to execute the search again from the current position.

VIEWING TEXT DOCUMENTS

All of the attachment types that represent text documents are viewed in the same way. These include Microsoft Word, Adobe Acrobat, Corel WordPerfect, HTML, and ASCII text documents. Viewing one of these types shows you the text portion of the document, including styles such as bold and italic. Other features such as bullets and hyperlinks are also preserved. On handhelds with a color screen, colors are also preserved. Depending on the version of your handheld software, images may also be included.

Adobe Acrobat files can be password protected. If one is, you enter the password by selecting the filename node in the Attachment list screen and clicking the Password menu item.


There are not many features when viewing text documents. The one thing you can do is click the Select menu item to begin selecting text, which you later copy using the Copy menu item.

VIEWING MICROSOFT EXCEL DOCUMENTS

Microsoft Excel Documents make the most sense when they are displayed in a format with rows and cells like you see using Microsoft Excel on your desktop. When you view the full content of an Excel document, you are shown the first worksheet on the screen. If you retrieve the table of contents instead, you will get the list of worksheets that the document contains.

When viewing a worksheet, you can scroll the cursor around and view the cell contents. To move the cursor up and down, scroll the trackwheel up and down. To move the cursor right and left, press and hold the Shift key while scrolling the trackwheel up and down.

You can also jump to a specific cell by clicking the Go to Cell menu item. A dialog is shown where you can enter the cell index, such as L10. Clicking the trackwheel will cause the screen to be scrolled so that the desired cell is displayed and the cursor will be in the cell.

Viewing a cell means viewing the value in the cell. If a cell was originally a calculation, you will not see the calculation formula, just the resulting value.


The height and width of the rows and columns is not preserved when viewing an Excel document on a Blackberry. As a result, sometimes the contents of a cell are bigger than the column width and are not completely visible. You can view the contents of the cell by scrolling to it and selecting the View Cell menu item. The value in the cell will be displayed in a dialog box.

You can adjust the width of a column, but not the height of a row. To change the width of a column, scroll the cursor to the column header and click the trackwheel. A menu of sizes will be displayed at the location of the selected column header, not in the normal menu location. Scrolling the thumbwheel up and down changes the menu selection as you would expect, and clicking the trackwheel selects the size. There are four choices: Small, Medium, Large, and Fit. These settings are not saved permanently to the handheld. If you later return to the email message containing the attachment, any changes to the column sizing is lost.

Even if both the full contents and the table of contents are retrieved, you will still see a More menu item when viewing a worksheet. Clicking this menu item will get the list of worksheets and allow some other menu items to be shown. They are the Next Sheet, Prev Sheet, and Select Worksheet menu items. These menu items are used to view other worksheets in the document. Clicking the Next Sheet or Prev Sheet will immediately change the view to the proper worksheet. Clicking the Select Worksheet menu item shows a dialog listing all of the worksheets. Clicking the trackwheel causes the selected worksheet in the dialog to be displayed. Like the column size, the list of worksheets delivered by the More menu item is not saved and will be lost when you return to the message.

When viewing Excel Documents, you can copy the contents of a cell into the clipboard much the same as with a text document. Simply select the cell you want to copy and click the Copy Cell menu item. It is not possible to select or copy more than one cell, however.

VIEWING MICROSOFT POWERPOINT DOCUMENTS

PowerPoint documents receive just a little special treatment. For the most part, they are treated like a collection of text documentseach slide of the presentation is viewed as a text document. Of course, there are no flashy animations, but you can usually still view and understand the presentation without them.

DOCUMENT VIEWING OPTIONS

Lastly, what would any feature be without a set of options that you can change? The Options screen is available when viewing any file. Open the Viewer Options screen by clicking the Options menu item. The Viewer Options screen displays nine choice fields. Each of these choices can be changed in the standard ways by pressing the Space key or clicking the Change Option menu item.

Because this Options screen is the same for all file types, there may be some that do not apply to the document you are currently viewing. In particular, there are five options relating to how the Excel Worksheet view works. We will look at these options first.

  • Sheet Outline Cells Each cell in the worksheet is shown with a rectangle around it if this option is set to Yes. Changing this option to No causes the rectangle to not be shown.

  • Sheet Horizontal Scroll If this option is set to Yes, scrolling the cursor horizontally past the last column will cause the cursor to wrap around to the first column on the next row. If this option is set to No, the cursor will remain in the last column and not wrap even if you continue to horizontally scroll.

  • Sheet Vertical Scroll This option is the same as the Sheet Horizontal Scroll option, but affects wrapping the cursor when scrolling vertically.

  • Sheet Column Width When a worksheet is being viewed, all of the columns are set to this column width by default. Changing this option will change the way all worksheets are viewed and the column width that is used.

  • Sheet Display Labels When this option is set to Yes, the column header and row numbers are displayed. These take up some room, obviously, so if you want to hide them, change this option to No.

The other options apply to all attachment viewers.

  • Case Sensitive Search Doing a search of the text in an attachment using the Find menu item is not case sensitive if this option is set to No. To enable case sensitive searches, change this option to Yes.

  • Font Family Since all of the font information is lost when retrieving the attachment data, the viewer must use its own font settings. This option can be used to select the font family to use when viewing attachments.

  • Font Size Like the font family, the size of the font used is set in this option. If you find that you want to see more text on the screen, change this option to a smaller number. If you find that you are unable to read the text on the screen comfortably, make this number larger.

  • Cache Size A handheld only has so much storage space available to hold attachments that have been retrieved. If you find that you are hitting the limits of this cache, you may be able to increase its size with this option. On my handheld, the default was already set at the largest value.
