MESSAGE LIST OPTIONS


There have been a few times when I've said things will work a certain way by default, indicating that the behavior can be changed if you want. This section is where we look at the Message list options and what changing those settings means. To open the Message List Options screen, click the Options menu item while viewing the Message List screen. Figure 6.13 shows an example of this screen.

CUSTOMIZING THE BEHAVIOR OF MESSAGE LIST

The top portion of the screen contains a number of Yes/No choices that change the way the message looks and behaves in small ways. The following list explains each of them individually.

  • Display Time This option specifies whether to display the time of a message in the Message list. The time is either the received time if the message was received, or sent time if it was sent.

    note

    A new option in the 4.0 version of the handheld software is the Keep Messages option. This option allows you to specify how long messages are to be kept on the handheld before the software automatically purges them. The default is Forever, which is basically how previous versions of the software operated. If you want the software to automatically delete old messages, change this option to 15 Days, 30 Days, 60 Days, or 90 Days. The software will then automatically delete message that are older than the specified number of days.


  • Display Name This option specifies whether to display the name associated with a message on the Message list. The name is the sender's name if the message was received, or the recipient's name if the message was sent.

  • Confirm Delete This option specifies whether the Delete Item dialog box is shown each time a message is deleted. If the Option is set to No, the dialog won't be shown. As tempting as this might be, remember that it is also a safety feature to stop you from deleting messages by accident.

  • Hide Filed Messages This option specifies whether messages that have been filed into subfolders are shown in the Message list. If the option is set to No, the messages will still be visible in the Message list, but the icon will be changed to look like a folder to indicate that it has been filed.

  • Consider PIN Level 1 This option specifies whether a new PIN message is considered to be a Level 1 message for notification purposes. In Chapter 4, "Personalizing Your Device," we covered profiles. If you will recall, there is a Notification Type called Level 1 Messages. In Chapter 4 I said that this simply meant PIN messages, and this option is why. If you want to have new PIN messages notify you just like normal email messages, change this option to No.

  • Auto More This option specifies whether the software should automatically request more text of a long message when the least available text is shown. If you recall, we talked about the More and More All menu items in the "Viewing More Text in a Long Email" section earlier in this chapter. At the time I said that if you reach the line that says "More Available: XXXX Bytes" it would automatically request more of the message. This option is why I said that. If you don't want to automatically get more of a message, set this option to No.

The wireless synchronizations options have been moved into the Email Reconciliation option group in the 4.0 version of the handheld software.


WIRELESS SYNCHRONIZATION RULES FOR MESSAGES

The bottom part of the Message List Options screen allows you to set rules for what happens during a wireless synchronization. The options that are available here will vary depending on how your handheld is set up and whether wireless synchronization is enabled. You should talk to your BlackBerry specialist if you think you need to change them.

EMPTYING THE DELETED ITEMS FOLDER ON YOUR SERVER

The Purge Deleted Items menu item has also been moved into the Email Reconciliation options group.


If you are set up for wireless synchronization, one function that may be very useful is the ability to empty your Deleted Items folder from your handheld. For those road warriors who don't make it back to their desk, the ability to do this can mean not getting the "your account is over quota" nag emails. From the Message List Options screen, click the Purge Deleted Items menu item to do this. Your handheld will not display a confirmation dialog for this operation.
