Subscriptions ”A Way to Search into the Future

Searching for information is valuable , but wouldn't it be better if the system could find the information that you are interested in whenever that information becomes available in the future? Microsoft has implemented a Persisted Query System that allows you to register for such searches, which could consist of simple modifications of folders or documents, additions to a category, or even complex custom searches. In fact, the queries that can be registered with the PQS system are equivalent to the queries that can be expressed in a regular search. As discussed earlier in this chapter, the Search Summary Web Part provides the interface to subscribe to such a search.

If a new document matches the persisted search query in a subscription, the match will be shown in the subscription's Web Part. Further, if the user provides an email address with the subscription also, an email notification will be sent to the user .

The benefit of the Persisted Query System is that it searches every new or changed document only once for matching queries. This is far more efficient than discovering changes through a regularly scheduled search ”in fact, most people will not do these regular searches and thus will certainly miss key updates to information. On the other hand, a very general query will cause the subscriptions to fire frequently. Therefore, the Coordinator can set some quotas on the number of subscriptions per workspace and per user, and the number of results per notification.
