Chapter 4. Overview of Document Management
The earliest stage of the document lifecycle is a Draft. With SharePoint Portal Server, Authors control whether a document is made available for public view. The initial document is created and saved as a draft. The draft can be shared with an Author or group of Authors. Readers are not yet aware of documents that are in draft state, and it is not until the state is changed to publish that users can then view and modify the document based on the security access level granted.
Upon being published, Readers can search for the document or navigate to it through the use of categories. Document versioning is used to update the document while preserving the previous published document. A single SharePoint Portal Server can store up to one million document versions. The maximum number of documents per server is dependent on the number of document versions. With the assumption of an average of two versions per document, the maximum documents per server is 500,000. If the average versions per document were eight, the recommended maximum would be 125,000.
