For those times when you will not be reading e-mail for an extended period, such as a vacation or business trip, you can set Lotus Notes to automatically notify anyone that sends you an e-mail that you are out of the office.
Note | The Out of Office Agent will only work if you are going to be away for more than 1 workday. It does not run on weekends. |
Click on the Mail Bookmark. Your mail will open.
Click on Tools. The Tools menu will open.
Click on Out of Office. The Out of Office dialog box will appear.
On the Dates tab, you set the dates in which you will be out of the office and unable to read e-mail.
Leaving. This is the first day that you will be gone.
Returning. This is the first day that you will be back.
Click on the Out of Office Message tab.
The Out of Office Message tab allows you to customize the Subject and the Body of the message that will be sent out.
Click on the Special Message tab.
If you do not want the same message to go to everyone, you can set up a second message to go to a select few people on this tab. Just choose the individual names or a group list from the address book by clicking on the arrow at the end of the To line, then type in a Subject and the Body of the message that you want to send.
Click on the Exceptions tab.
On the Exceptions tab, you can customize when and to whom the Out of Office message will be sent.
Note | These options allow you to limit who receives Out of Office messages from you. For example, you may be a member of an e-mail group that gets sent a daily newsletter. You could put that group name in the exception list, and the sender wouldn't get an Out of Office message from you. |
Once you have everything the way you want it, your options are as follows:
Click on OK to close the Out of Office dialog box.
