Using the Organizer to Import Views—and Other Elements

If you want to take advantage of a custom view you’ve created in another project file, you have to use a Project utility called the Organizer. The Organizer is used to copy any custom element you create in one Project file—views, tables, filters, reports, forms, and so forth— to other Project files. You access the Organizer by selecting Tools Ø Organizer—or, if you’re in the More View dialog box, by clicking the Organizer button there.

The Organizer dialog box has tabs for each type of element you can copy. Figure 16.13 shows the Views tab.

To copy (or, more accurately, import) a custom view from another file, follow these steps:

Select the file that contains the custom view using the Views Available In drop-down list on the left side of the window.
Make sure the active project is selected in the right side Views Available In drop-down list.
Click the view you want to import.
Click the Copy button.
Close the Organizer. The imported view now appears in the More Views dialog box.

To use a custom element from another project file:

Open the Organizer dialog box.
Select the file that contains the custom view using the left side Views Available In drop-down list.
Make sure that the active project is selected in the right side Views Available In drop-down list.
Click the tab for the type of element you want to make available, such as Tables, Toolbars, Calendars, Forms, and so on.
Select the custom element you want to import.
Click Copy.
Repeat the process for any additional elements you want to import.
Click the Close button to exit the Organizer.

The element(s) you imported are now available to apply in a new view. Follow the steps you normally would to create a new view. The imported element(s) will appear on the drop-down lists in the View Definition dialog box.
