Addressing Rules

Addressing rules are find-and-replace operations that act on the addresses that users enter in the TO, CC, and BC fields in mail messages they send. This feature was introduced in earlier versions of GroupWise so that Internet-style addresses could be entered without adding a gateway prefix.

In GroupWise 4.1 and 5.2, a user sending to glennbrown@novell.com had to enter a string such as domain.smtp gateway name:tkratzer@wwwidgets.com or INTERNET:glennbrown@novell.com. With addressing rules, the prefix can now be added automatically by the system, making things simpler for the user. Configuring the addressing rules correctly is anything but simple, however.

Fortunately, from GroupWise 5.5 going forward, there is a much better alternative to using addressing rules: native Internet addressing. If you have a need for an addressing rule for other conditions, you will want to set up addressing rules for your users. For example, if your users send a message to FAX:5551212, perhaps you'll want to have the FAX: changed to GATEWAYS_DOM.GWFAX:5551212. This can be done with an addressing rule (see Figure 6.17).

The following is a list of fields you fill out when defining an addressing rule:

  • Description: Enter a brief description of the rule.

  • Name: Name the rule.

  • Search String: Enter the search string that will trigger the rule.

For example, FAX:* searches for any address that is preceded by FAX:.

  • Replace With: Enter the string to replace the address line. Be sure to include all necessary elements of the original address string, as in the following example:

    GATEWAYS_DOM.GWFAX:"%1"

  • Test Address: Enter an address that a user might enter, for testing your rule, such as the following:

    FAX:5551212

  • Results: After the Test button is clicked, this field will be populated automatically:

    GATEWAYS_DOM.GWFAX:"5551212"

Note

When you create an addressing rule from system operations, it is not enabled at the domain level yet. You must then go to the properties of the domain, and from the GroupWise tab, select the Addressing Rules option. From here, you will see all addressing rules that have been defined from system operations. You can now enable them at the domain level and they will be active. Addressing rules are activated or deactivated at a domain level only. They are created at the system level through system operations.

When Internet addressing is enabled, any addressing rule you create that contains an @ symbol in the search field, and a : in the replace field, will be ignored by any GroupWise 5.5 or newer client. The reason for this is that these types of rules were in older GroupWise systems to provide the functionality that Internet addressing now provides. These rules are no longer needed unless you still have users using a GroupWise client older than 5.5x.

Tip

Addressing rules are processed in order from top to bottom. If you have multiple addressing rules defined, be aware that the format might have been altered by a previous addressing rule by the time it is acted on by a lower addressing rule. You can rearrange the order of the addressing rules by clicking the up and down arrows.
