Document Reference Relationships

Figure 4.8 explores the relationships between the various GroupWise information store databases when document references are being employed.

Figure 4.8. The complex system of pointers created when document references are employed

The following is a discussion of the items that appear in Figure 4.8:

  • The user assigned to USER123.DB creates a document in a GroupWise library. It is the ninth document created in this library, and it has been assigned document number 9.

  • This library is the first one created on this post office, and it is in the LIB0001 directory.

  • USER123 has also created a document reference, a pointer in his Documents folder enabling him to quickly find document number 9.

  • USER123 attaches this document reference to a mail message and sends it to another user.

The following numbered items correspond to the numbered arrows in Figure 4.8:

  1. The document reference is a pointer to the document property record. The document property record has a back link to this document reference (the arrow points both ways). Because this is document number 9, library 1, its property sheet is in DMDD0901.DB.

  2. The document property record has a pointer to the actual document BLOB file in the DOCS directory structure.

  3. The document property record has a pointer to the activity log record for this document. The activity log has a back link to the property record (again, the arrow points both ways).

  4. The activity log record for this document is in DMDL0901.DB, because this is document number 9 in library 1. This record has a pointer to the BLOB file for this document.

  5. When the user sends the document reference, a message item record is created in MSG17.DB. USER123.DB has a pointer to this item record.

  6. The item record in MSG17.DB contains a document reference, which means it has a pointer to the document property record in DMDD0901.DB. That document property record has a back link to MSG17.DB.

Note

For simplicity's sake, the recipient's mailbox is not shown in Figure 4.8. That mailbox would have only a pointer to MSG17.DB for the received item.

The document property record "knows" more about this document than any other database or record shown. When the POA needs to index this document, it reads this property record to find all document references and makes sure that the word list generated for this document is accessible when the mailboxes containing those references are indexed.

Note

As of the initial writing of this book, all the features of GroupWise Document Management are not configurable if a GroupWise post office is deployed on a Linux server. Specifically, the use of customized document fields is not supported. Remote document storage locations also are not supported.
