Microsoft Office PowerPoint 2007


Microsoft Office PowerPoint 2007 is a presentation graphics program that helps you create and deliver slide shows either in person or online. With enhancements to the user interface and the addition of SmartArt graphics and Quick Styles for text, shapes, tables, and pictures, you can create high-impact presentations more easily in PowerPoint 2007.

What's New

If you're searching for what's new in PowerPoint 2007, just look for the icon: New!. The new icon appears in the table of contents and throughout this book so you can quickly and easily identify a new or improved feature in PowerPoint 2007. The following is a brief description of each new feature and it's location in this book.

Office 2007

  • Ribbon (p. 4) The Ribbon is a new look for PowerPoint 2007. It replaces menus, toolbars, and most of the task panes found in PowerPoint 2003. The Ribbon is comprised of tabs with buttons and options that are organized by task.

  • Live Preview (p. 4, 118-119) A gallery displays graphical options on the Ribbon. When you point to a gallery on the Ribbon, Office programs display a live preview of the option change so that you can see exactly what your change will look like before committing to it.

  • Quick Access Toolbar and Mini-Toolbar (p. 6, 59, 395, 415) PowerPoint includes its most common commands, such as Save and Undo, on the Quick Access Toolbar. The Mini-Toolbar appears above selected text and provides quick access to formatting tools.

  • Dialog Box Launcher (p. 8, 106) Dialog Box Launchers are small icons that appear at the bottom corner of some groups on the Ribbon. When you point to a Dialog Box Launcher, a ScreenTip with a thumbnail of the dialog box appears to show you which dialog box opens when you click the Dialog Box Launcher.

  • Status bar (p. 9) The Status bar displays the on/off status of features, such as signatures and spelling, and determines what information appears on the bar.

  • Spotlight (p. 12) The Spotlight section under the Featured category in the New Presentation dialog box, highlights new PowerPoint content from Microsoft Office Online.

  • Office button and menu (p. 13) The Office button and menu replaces the File menu with a revised list of commands and options, such as the Recent Documents list.

  • Compatibility mode (p. 13, 22-23) When you open a presentation from PowerPoint 97-2003, PowerPoint 2007 goes into compatibility mode where it disables new features that cannot be displayed or converted well by previous versions.

  • Save in XML-based file format (p. 22-23, 265) PowerPoint 2007 saves files in an XML (Extensible Markup Language) based file format (.pptx). The XML-based format significantly reduces file sizes, provides enhanced file recovery, and allows for increased compatibility, sharing, reuse, and transportability.

  • Diagnose problems (p. 28) The Diagnose command improves performance by diagnosing and repairing problems, such as missing files from setup, corrupted file by malicious viruses, and registry settings.

  • SmartArt graphics (p. 190-202, 308) SmartArt graphics allow you to create diagrams that convey processes or relationships. PowerPoint provides a variety of built-in SmartArt graphic types, including organization charts, graphical lists, process, cycle, hierarchy, relationship, matrix, and pyramid.

  • Common spell checking and dictionary (p. 275-279) Microsoft Office 2007 programs share a common spell checker and dictionary, so you only need to make additions and changes once.

  • English Assistant (p. 282) The English Assistant is a Microsoft Office Online service that helps people for whom English is a second language write professional English text.

  • Document Information Panel (p. 286-287, 424) You can view or edit standard document properties or create advanced custom properties by using the Document Information Panel, which is an XML-based Microsoft InfoPath 2007 form hosted in PowerPoint.

  • Check compatibility (p. 288) The Compatibility Checker identifies the potential loss of functionality when you save a PowerPoint 2007 presentation in the PowerPoint 97-2003 Presentation file format.

  • Create a PDF or XPS (p. 291-292) You can now save a presentation as a PDF or XPS file, which is a fixed-layout format that retains the form you intended on a computer monitor or printer.

  • Document Inspector (p. 340-341) The Document Inspector uses inspector modules to find and remove any hidden data and personal information specific to the modules that you might not want to share with others.

  • Information Right Management (p. 344-345) If you want to view or change the permissions for a presentation, you can use the Change Permission button on the Message Bar or the IRM icon button on the Status bar.

  • Trust Center (p. 350-356) The Trust Center is a place where you set security options and find the latest technology information as it relates to document privacy, safety, and security from Microsoft. The Trust Center allows you to set security and privacy settings, including Trusted Publishers, Trusted Locations, Add-ins, ActiveX Settings, Macro Settings, Message Bar, and Privacy Options.

  • Microsoft Office safe mode (p. 358-359) Microsoft Office 2007 uses two types of safe modesAutomated and User-Initiatedwhen it encounters a program problem. Safe mode only loads minimal features to help start the Office program.

  • Mark a document as final (p. 360) The Mark as Final command makes a PowerPoint 2007 presentation read-only and disables or turns off typing, editing commands, and proofing marks.

  • Microsoft Office Groove (p. 363-386) With Office Groove 2007, you can bring a team, tools, and information together from any location to work on a project.

  • Microsoft Office Document Imaging (p. 396-387) With Microsoft Office Document Imaging, you can now add annotations to a scanned document image, such as a fax.

PowerPoint 2007

  • Slide Layout gallery (p. 32) PowerPoint provides a gallery of slide layouts to help you position and format slides in a consistent manner.

  • Indent markers (p. 50) You can now set different indent markers for each paragraph in an object.

  • Align text (p. 54) You can now align text vertically to the top, middle, or bottom within a text object.

  • Kerning (p. 56) Kerning is the amount of space between each individual character that you type. You can adjust the character spacing in PowerPoint the same way you do in word processing and desktop publishing programs.

  • Stack letters (p. 57) You can now stack letters on top of one another.

  • Additional formatting options (p. 58) PowerPoint includes new formatting options, such as strikethrough or double strike-through, all caps or small caps, and double or color underline.

  • Clear all formatting (p. 58) If you no longer like your text formatting, you can quickly remove it.

  • Create columns (p. 68) You can now create text columns within a text box.

  • Reuse Slides task pane (p. 72, 388-389) With the Reuse Slides task pane, you can view a miniature of each slide in a presentation and then insert only the ones you select. If you only want to reuse the theme from another presentation, the Reuse Slides task pane can do that too. If you have access to an Office SharePoint Server site, you can publish slides on a team site for other project members to reuse.

  • Slide master layouts (p. 80) Each slide master includes a standard set of slide layouts. However, you can modify a slide master layout using different types of placeholders, such as Text, Picture, Chart, Table, Diagram, Media, and Clip Art.

  • Themes (p. 89-99) A theme is a set of unified design elements that provides a consistent look for a presentation by using color themes, fonts, and effects, such as shadows, shading, and animations. You can use a standard theme or create one of your own.

  • Text and Shape Quick Styles (p. 110, 118-119, 128, 140, 176-180) You can quickly add different formatting combinations to text using WordArt Quick Styles or to a shape using Shape Quick Styles. You can also change individual styles by applying shadows, reflections, glow, soft edges, bevels, and 3-D rotations.

  • Add a gradient to a line (p. 126) You can now add a gradient fill to a line.

  • 3-D Effects (p. 132-134) You can add the illusion of depth to your slides by adding a 3-D effect to a shape. Create a 3-D effect by using one of the preset 3-D styles, or you can use the 3-D format tools to customize your own 3-D style.

  • Selection pane (p. 142) With the Selection task pane, you can now select individual objects and change their order and visibility.

  • Apply theme to photo album (p. 162) You can now customize a photo album by applying themes.

  • Picture Quick Styles (p. 164) The Picture Quick Style gallery provides a variety of different formatting combinations.

  • Apply a shape to a picture (p. 165-166) You can now select a picture and apply one of PowerPoint's shapes to it.

  • Picture effects (p. 167) You can now change the look of a picture by applying effects, such as shadows, reflections, glow, soft edges, and 3-D rotations.

  • Best scaling for slide shows (p. 168) You can make sure your pictures keep the same relative proportions as the original and provide the best scaling size for a slide show on a specific monitor size.

  • Recolor Picture Quick Styles (p. 172-173) The Recolor Picture Quick Style gallery provides a variety of different formatting combinations.

  • Microsoft Excel used to create charts (p. 204) PowerPoint now uses Microsoft Excel to embed and display a chart instead of Microsoft Graph.

  • Added chart types (p. 214) PowerPoint added more built-in chart layouts and styles to make charts more appealing and visually informative.

  • Chart template (p. 220) You can now create a chart template (.crtx) to save a chart style for use in other presentations.

  • Large tables (p. 222) You can now organizes information in a table up to a maximum of 75 rows by 75 columns.

  • Table Quick Styles and effects (p. 226-230) The Table Quick Style gallery provides a variety of different formatting combinations. You can change the look of a table by applying effects, such as shadows, reflections, glow, soft edges, 3-D rotations, and transformations.

  • Wide screen slide sizes (p. 268) You can now set the slide size to fit computer monitor with ratios of 16:9 (wide screen HDTV's), or 16:10 (wide screen laptops).

  • Transition Quick Styles (p. 300) The Transition Quick Style gallery provides a variety of different transition effect combinations you can add between slides.

  • Add-ins and ActiveX controls (p. 402, 418, 421-422) PowerPoint includes several pre-built ActiveX controls, including a label, text box, command button, image, scroll bar, check box, option button, combo box, list box, and toggle button that you can insert into your presentations to add functionality.

  • Macros (p. 410, 416-417) Macros are created using Visual Basic for Applications (VBA) code instead of the Macro Recorder. If you add a macro to a presentation, you need to save it with a file name extension that ends with an "m", either PowerPoint Macro-Enabled Presentation (.pptm), PowerPoint Macro-Enabled Show (.ppsm), or PowerPoint Macro-Enabled Design Template (.potm).

What Happened To . . .

  • Allow Fast Saves The Allow Fast Saves option is not available in PowerPoint 2007 to provide enhanced performance, security and recovery.

  • AutoContent Wizard The AutoContent Wizard is not available in PowerPoint 2007. Instead, you can create a presentation using a template, which gives you a professional looking starting point where you can add your own content.

    • Click the Office button, click New, click one of the templates installed on your computer or available on Microsoft Office Online, and then click Create.

  • Check presentation styles The Check Style check box and Style Options button are not available in PowerPoint 2007. Instead many of the options are incorporated into the Proofing section of the PowerPoint Options dialog box, which the spelling checker uses to check a presentation.

    • Click the Office button, click PowerPoint Options, and then click Proofing.

  • Comparing and merging presentations The Compare and Merge Presentations feature is not available in PowerPoint 2007.

  • Detect and Repair The Detect and Repair command has been replaced by Microsoft Office Diagnostics, which provides additional detection and repair capabilities.

    • Click the Office button, click PowerPoint Options, click Resources, and then click Diagnose.

  • File menu The File menu has been replaced by the Office button and menu with a revised list of commands and options.

  • Macro recorder The macro recorder is not available in PowerPoint 2007. Instead, you can use Visual Basic for Applications (VBA) to create and edit macros. If you created a macro in an earlier version of PowerPoint using the macro reader, you can use Visual Basic to edit it.

    • Click the View or Developer tab, and then click the Macro button, type a name for the macro, click the template or presentation you want to store in the macro in, type a description, and then click Create to open Visual Basic.

  • NetMeeting NetMeeting is not available in PowerPoint 2007. Instead you can use Microsoft Office Live Meeting. Check out the Microsoft Web site for more details.

  • Presentation Broadcast Broadcast is not available in PowerPoint 2007. Instead you can use Microsoft Office Live Meeting. Check out the Microsoft Web site for more details.

  • Scanner or Camera option The From Scanner or Camera option for adding pictures to a presentation or photo album is not available in PowerPoint 2007. Instead, you can download the pictures from your camera or scanner, or use the Microsoft Office Document Imaging program that comes with Office 2007, and then insert or paste them into PowerPoint.

  • Send for Review The Send for Review command is not available in PowerPoint 2007. Instead, you can attach your presentation file to an e-mail message and send it to a reviewer. The reviewer can add comments and send the marked-up presentation back to you in an e-mail message.

    If you use PowerPoint 2003 or earlier to send your presentation for review, reviewers who use PowerPoint 2007 can view and add comments, but you cannot merge their comments into your presentation.

  • Summary slide The summary slide is not available in PowerPoint 2007. Instead, you can create a summary slide by copying slide titles onto a slide.

  • Title master The title master is not available in PowerPoint 2007. Instead, PowerPoint 2007 uses layouts to define the same slide content.

    • Click the Home tab, click the Layout button, and then click the Title Slide layout from the gallery.

  • Web Toolbar The Web toolbar is not available in PowerPoint 2007, Word 2007, or Excel 2007. However, you can still use some of the commands on the toolbar. You can add the Back and Forward buttons to the Quick Access Toolbar.
