Working with a Shared Workspace


A Document Workspace is an Office SharePoint site template that provides you with tools to share and update documents and to keep people informed about the current status of the documents. Using icons on the Document Management task pane, you can connect to an Office SharePoint Server directly from PowerPoint. Each icon displays different information relating to your document: Status, Members, Tasks, Document, and Links. Users can show current tasks, view the status of a document, see the availability of a document, display properties of a document, and list additional resources, folders, and privileges.

Work with a Shared Workspace


In PowerPoint, open the presentation you want to share.

Click the Office button, point to Publish (to create) and then click Create Document Server, or point to Server (to modify), and then click Document Management Server.

To create a workspace, type a name for the site, type the URL or network location, and then click Create.

Use the Document Management task pane tools.

  • Status. Displays the checked-in/checked-out status of your current document.

  • Members. Shows you who is online from your Team Members Group. You can add new members and send e-mail message to members.

  • Tasks. Shows you the tasks assigned for this document and the completion status. You can add new tasks, create alerts, and view workflow tasks.

  • Documents. Displays the name and workspace of the selected document. You can add new documents and folders, and alert me about documents.

  • Links. Displays links to files, folders, and resources. You can add new links and alerts.
