Inserting Comments

Comments are useful when someone who is editing the document has queries pertaining to the document. Perhaps a particular passage needs to be clarified, or the formatting of an item is inconsistent and the editor is uncertain what the author's intentions were in applying that formatting. When a comment is inserted in Print Layout view, it opens a dialog balloon where the editor can type the question. When in Normal view, it opens a window at the bottom of the document where comments are inserted and viewed . Each comment includes the name and initials of the person who made the comment, which you can change in the Options dialog box.

Set User Information for Comments

Click the Tools menu ' and then click Options.

Click the User Information tab.

Type your name.

Type your initials.

Click OK.

Insert a Comment

Position the insertion pointer where you want to insert a comment.

Click the View menu ' point to Toolbars ' and then click Reviewing.

Click the Insert menu ' and then click Comment or click the Insert Comment button on the Reviewing toolbar.

Type your comment in the balloon, and then click outside the balloon to save it.

Read a Comment

Click the View menu, point to Toolbars, and then click Reviewing to display the toolbar.

Click the Show button on the Reviewing toolbar, and then click Comments.

Read the comment.

Click the Previous or Next button on the Reviewing toolbar to read another comment.

Edit a Comment

Click the View menu, point to Toolbars, and then click Reviewing to display the toolbar.

Click the Show button on the Reviewing toolbar, and then click Comments.

Click the text in the comment, make your changes, and then click outside the balloon to save it.

Did You Know?

You can quickly delete a comment . Right-click the comment, and then click Delete Comment.
