Distribution Lists

I play on a football team that is comprised of friends , acquaintances , and some strangers. Each week we e-mail one another with game plans, plays, and injury reports . Rather than having to type each player's e-mail address in individually, I've created a distribution list. Distribution lists enable you to send e-mail to groups of people by only typing in the name of the group .

Creating Distribution Lists

To create a distribution list, you simply have to name the group and determine who you'd like to be a part of that group.

1. Click on the New List button . The Mailing List dialog box will open .

   

2. Click on the down arrow beside Add to. A list of all your address books will appear.

3. Click on the address book where you'd like to store the group.

   

4. Type a name for your group in the List Name text box. You can give it any name, but try to use one that is easily remembered and describes the group, such as "friends" or "hockey team."

5. Type a nickname for your group in the List Nickname text box.

6. Type a description for your list in the Description text box.

   

7. Click on the first line of the mailing list area.

8. Begin typing the name of the person you'd like to add to your list. As you type, names that match what you are typing will appear.

9. Click on the desired name . It will be added to your list.

   

10. Click on the next empty line in the mailing list area.

11. Repeat steps 8 “10 until all the desired names have been added to the list.

12. Click on OK . Your group will be created.

    

Editing Distribution Lists

After you've created a distribution list, you can add members as you did when you first created the list, or you can remove people from the group.

1. Double - click on the list. The Mailing List dialog box will open.

   

2. Double - click on a name you'd like to remove. It will be highlighted.

3. Press the Del key . The name will be removed from the list.

4. Click on OK . The list will be updated.
