A browser-based review requires that the PDF document reside on a server that is accessible to both you and your reviewers. After the reviewer receives the review invitation email and opens the attachment, a copy of the PDF document opens in a web browser. After reviewing the document and adding comments, the reviewer then uploads them to an online comments repository designated by the initiator in the document's preferences. Reviewers can view comments made by other reviewers and reply to them, but they cannot edit or delete another's comments.

Choose the Source Document

From the Comments menu, under the Send for Review submenu, select the Upload for Browser-Based Review command. In the Initiate an On-line Review: Step 1 of 4 dialog box, click the Browse button to locate the PDF file to be reviewed. Select the PDF file, and then click Next to go to the next step.

NOTE

For a reviewer to participate in a browser-based review that was initiated in Acrobat 7, he must use Adobe Acrobat 7. Older versions of Acrobat allow for browser-based reviewing but do not support many of the features of Acrobat 7's browser-based reviews.

Adobe Reader 7 users can also participate in the browser-based review as long as additional user rightssuch as filling in forms, participating in online reviews, and digitally signing documentshave been included in the PDF document. If additional user rights have been included in the PDF document for review, a yellow Document Messenger Bar appears displaying the additional reviewing tools.

Upload the Document to the Server

Click the Browse button to specify where you want to save the PDF file on the server. Be sure to save the file on a server that is accessible by all reviewers.

If Acrobat has not automatically configured the location of your review comment repository, click the Configure button. This opens the On-Line Commenting Auto Configuration dialog box. Enter the comment repository that is provided by your system administrator.

Click Next to go to step 3.

Select the Reviewers

The Initiate an On-Line Review: Step 3 of 4 dialog box allows you to add email addresses for each reviewer. You need to either type or copy and paste the email addresses into the space provided, or type them in manually. If you need to look up someone's email address, click the Address Book button to launch your default email client so you can locate (and copy, if you want) the email address.

Click Next to go to the final step.

NOTE

Before sending a browser-based review, you need to make sure you have the correct server settings. Under the Edit menu, select Preferences to bring up the Preferences dialog box. Under the topic heading Categories , click Reviewing . Select the type of server to which you will be uploading the PDF document, along with any other server settings needed for the review, such as Confirm Importing of Annots into Active Reviews from PDF Files, Open the Comment List When Comments Are Imported , and Automatically Open Toolbars for Reviews. If you are unsure of the proper server settings, contact your system administrator.

Send the Invitation

TIP

If you add comments to your PDF document before uploading it to the server for browser-based reviewing, your comments will be embedded in the document and you will no longer be able to edit them.

The Initiate an On-Line Review: Step 4 of 4 dialog box provides the subject line that includes the location of the PDF filename and instructions for the reviewer on how to review and comment on the PDF. If you need to add your own comments to the instructions, just click in the text box and type in your comments.

When you click the Send Invitation button at the bottom of the dialog box, Acrobat automatically populates your default email client with the subject line and instruction message and then sends the email review to the reviewers. If your default email application does not automatically send the email, you need to manually send the message.

TIP

When using a browser to review a document, unsaved comments are lost when you visit another website. Be sure to always click the Send and Receive button in the Commenting toolbar to save your comments.


TIP

You can add comments to a PDF document while working offline. Just click the Save and Work Offline button on the Comments toolbar in the browser window to download the PDF document to a specified location. After you have finished reviewing the document in Acrobat, click the Go Back Online button on the Comments toolbar. This closes Acrobat and reopens the browser window.
