12. Edit Text

Before You Begin

1 Create a PDF in Acrobat


If the PDF requires major changes to the text, you need to modify the original document in its original authoring application. You might want to do this anyway, so that future versions of the document will include any minor text changes you might be tempted to make in Acrobat. However, if all you need to do is make a quick edit or two to a PDF before sending it out, you can do so in Acrobat fairly quickly and easily. You can also change basic text formatting such as font, font size , and color .

KEY TERM

Embedded fonts Fonts whose information is stored within the PDF file itself. This ensures that the fonts displays and prints correctly even if the user does not have the fonts installed on her computer.


One caveat to keep in mind is that you cannot do any editing or formatting of text in a PDF document unless you have the font used in the PDF installed on your computer or the author of the PDF has embedded the font in the PDF. See 1 Create a PDF in Acrobat for details on how to embed fonts.

TIP

If you are going to be doing a lot of text editing, you'll be better off displaying the Advanced Editing toolbar (by selecting View menu, Toolbars, Advanced Editing ) and clicking the TouchUp Text tool. Because you might be switching to other tools between edits, this makes reselecting the TouchUp Text tool easier each time you need to edit text.

Select Text

From the Tools menu, select the Advanced Editing , TouchUp Text Tool . After selecting this tool, your cursor changes to a standard I-beam text selection cursor, which you are probably familiar with from MS Word or other text editing applications. Click a block of text to enter text edit mode for that block of text (a colored border appears around the text block); then click and drag across the desired text with the TouchUp Text tool cursor to select it.

Edit Text

Edit the text normally, either by deleting the text and then typing new text or by highlighting a block of text and typing over it. Keep in mind that the TouchUp Text tool is for making small edits. Acrobat does not reflow multiline text changes.

Format Text

Selected text can be formatted by right-clicking (Windows) or Ctrl-clicking (Mac OS) the selected text and selecting the Properties command from the context menu. In the TouchUp Properties dialog box, click the Text tab. From here you can change the font, font size, and many other text attributes. When you are done, click the Close button to return to your document.

View the Results

View text changes in the document window. If you have made changes to text on multiple pages, press the Page Down key or click the Next Page button at the bottom of the document window. You can also zoom in or out of the document by selecting the Zoom To command located under the View menu. When the Zoom To dialog box appears, select a magnification and click the OK button.

TIP

Another way to zoom in and out of a document view is to use the Zoom toolbar. If it's not already displayed, from the View menu, select Toolbar, Zoom . This opens the Zoom toolbar. Located on the Zoom toolbar are the Zoom In Tool drop-down menu; Actual Size, Fit Page , and Fit Width buttons ; Zoom Out and Zoom In buttons; and a drop-down Zoom In/Out percentage box. Any of these tools or buttons can change the view of your PDF.
