11. Add Headers and Footers

If your source document doesn't contain page numbers or other header or footer data, you can add your own to a PDF with the Headers and Footers command. Acrobat headers and footers not only allow you to add page numbers to your PDF, but also enable you to add a date field and other text, such as document name , file location, copyright information, or anything else you can think of.

Adding headers and footers in Acrobat is extremely useful if you are combining multiple documents together, especially if those documents come from different authoring applications.

1.
Create Header and Footer Fields

From the Document menu, select the Add Headers and Footers command. This opens up the rather large Add Headers and Footers dialog box. At the top of the dialog box is a set of three boxes for different placements of header information (the three footer boxes can be accessed by clicking the Footer tab above the first box). Anything entered in the first box is left-aligned at the top of the page, anything entered in the second box is centered, and anything entered in the third box is right-aligned.

KEY TERMS

Header Text or images that appear at the top of a range of printed pages.

Footer Text or images that appear at the bottom of a range of printed pages.

You can type header or footer data into these boxes, or you can insert date or page number fields. To enter a date or page number field, click in one of the boxes, select one of the date or page number formats from the Insert Date or Insert Page Number drop-down list, and click the appropriate Insert button. You can also format your header or footer data by selecting the text and then selecting a font and font size from the drop-down lists in the Font area of the dialog box.

Choose Page Options

At the top of the Page Options section of the Add Headers and Footers dialog box, specify to which pages you want the header and footer applied.

If you want the page numbering to start at a number other than 1, click the Start Page Numbers at check box and enter the number you want the page numbers to start at.

If you want your header and footer to appear only on alternating pages (to create right-aligned page numbers for odd-numbered pages and left-aligned page numbers for even-numbered pages, for example), select Even Pages Only or Odd Pages Only from the Alternation drop-down list.

Finally, set the distance between your header and footer and the edge of the page in the top, bottom, left, and right Margins boxes.

3.
Preview the Document

Click the Preview button at the bottom of the Add Headers and Footers dialog box. In the Preview dialog box that appears, click the up Page arrow or enter page numbers to see how the headers and footers will appear on various pages in your document. When you are done, click the OK button in this dialog box to exit the preview and then click the OK button in the Add Headers and Footers dialog box to apply your new headers and footers to your document.
