As with most aspects of the BlackBerry 7100 series of devices, the email system is highly configurable. The default email settings will likely serve your needs just fineespecially early onbut you can tailor the email system to your own work style with a few tweaks. For example, by changing the email options, you can eliminate the delete confirmation request that appears every time you attempt to delete an email message. This is an important confirmation that helps you avoid accidentally deleting email messages, but it can also be a pain if you regularly delete messages and get tired of okaying every deletion.

40. Configure Email Options

You can also change email reconciliation settings through the email options, although this isn't usually necessary unless you are changing your method of reconciliation. For example, if you're switching from the BlackBerry Redirector to the BlackBerry Web Client, or vice versa, changing the reconciliation options certainly makes sense. You can also specify exactly how conflicts are resolved between your device and your email mailbox during reconciliation.

KEY TERM

Reconciliation The process of matching email messages sent and received on your BlackBerry device with those that have been sent and received using another email client, such as Microsoft Outlook.

1.
Open the Messages Screen

Scroll to the Messages icon on the Home screen and click the trackwheel. The Messages screen appears, displaying a list of email messages that have been sent and received on your device.

2.
Open the General Options Screen

Click the trackwheel on the Messages screen and scroll to select Options from the menu that appears. The General Options screen appears and provides access to two categories of email options.

3.
Configure General Email Options

To configure general email options, select General Options on the General Options screen and click the trackwheel. The second General Options screen appears and provides access to general email options.

The first two options, Display Time and Display Name , enable you to show or hide the time and name associated with a message on the Messages screen; by default, both the time and name are shown, which is generally a good setting. The Confirm Delete option allows you to eliminate the confirmation that appears when you delete messages. Although setting this option to No certainly speeds up the process of deleting messages, it removes the safeguard that prevents you from accidentally deleting a message.

TIP

Unless you don't mind the risk of accidentally deleting an important message, I recommend that you leave the Confirm Delete option enabled. On the other hand, if you know you have a copy of messages on your desktop PC (see 41 Redirect Messages with the BlackBerry Redirector ), it might not be such a big deal. Personally, I find that the convenience of being able to zap messages with a single click overrides the risk of possibly deleting messages by accident .

The Hide Filed Messages option applies to email reconciliation: When enabled, the option hides files in the Messages list after they've been filed to a personal folder. The Make PIN Messages Level 1 option determines the priority level of PIN messages; a level 1 message is a high-priority message, which is typically appropriate for PIN messages. The Auto More option applies to long messages, which are delivered to your device in sections.

When enabled, the Auto More option causes your device to automatically request additional pages of a long message as you read through the message. If you disable the option, you have to explicitly request each additional page of the message by opening the individual submessages. Finally, the Keep Messages option determines how long messages are kept around on your device before being automatically deleted. You can select a set number of days before messages are deleted or select Forever to never have messages automatically deleted.

TIP

Saved messages are never automatically deleted. To prevent a message from automatically being deleted based on the value of the Keep Messages option, be sure to save the message; see 38 Organize Your Messages for details on how to save a message.

After tweaking the general email options, press the Escape button to return to the initial General Options screen. If you've made changes, select Save in the confirmation window to confirm the changes and then click the trackwheel.

4.
Configure Email Reconciliation Options

Email reconciliation allows you to keep email messages synchronized between your BlackBerry device and your desktop PC. Several options are available when it comes to reconciling email messages. From the main General Options screen, scroll to select Email Reconciliation ; then click the trackwheel. The Email Reconciliation screen appears and provides access to options related to how your email is reconciled with an email client.

The first setting on the Email Reconciliation screen is Message Services , which enables you to select the message service whose options you want to change. For example, select Web Client to change the options for the BlackBerry Web Client message service, or select Desktop to change the options for the BlackBerry Redirector service. After selecting a message service, the options for the service appear just below the Message Services field. If you don't see a Message Services field on your device, it likely means that the only service you have installed is the Web Client service; the Desktop service is associated with the BlackBerry Redirector application.

The specific options for a message service can range from how messages are deleted to how the service handles conflicts; a conflict occurs when a message on your device doesn't match a message on your desktop or in the BlackBerry Web Client. For example, the Delete On option for the Web Client service determines whether a message is deleted only on the handheld, on both the Web Client mailbox and the handheld, or based on a prompt that allows you to choose for each message. The Wireless Reconcile option simply turns wireless reconciliation on and off. And finally, the On Conflicts option determines how reconciliation conflicts are resolved. This option comes into play if messages have changed on both the handheld and the Web Client before the last reconciliation. The safe setting is to allow the mailbox to win ( Mailbox Wins ), which means the handheld changes will give way to the mailbox changes.

When you're finished configuring email reconciliation options, press the Escape button to return to the initial General Options screen. If you've made changes, select Save in the confirmation window to confirm the changes and then click the trackwheel.

NOTE

To reconcile messages on your device, click the trackwheel, scroll down to Reconcile Now , and click once more. Messages are then reconciled based on your device's email reconciliation options.

5.
Exit Email Options

Press the Escape button to exit the initial General Options screen. Press the Escape button again to navigate back to the Home screen, or just press the End key.
