Using the Clean Up the Project Server Database Function


Occasionally, it may be necessary to create more space in the Microsoft Office Project Server 2003 database or to remove redundant or old information from users' Project Web Access views. Task assignments, task updates, projects, to-do lists, resources, and status reports can be removed on time-based or specific resource-based criteria. To perform database cleanup, use the Clean Up Project Server Database administration function.

Deleting Task Assignment Data

Perform the following steps to delete task assignment data:

NOTE

Assignment data is permanently deleted from the MSP_Web_Tables. This operation does not delete the tasks from the MS Project schedule in Project Professional.


1.

Under the Admin tab, select Clean Up Project Server Database. The Clean Up Project Server Database page displays, as shown in Figure 19.40.

2.

Select the Tasks radio button under the Specify Items You Want to Delete section.

3.

Select All Task Assignments or Only Completed Task Assignments from the Delete drop-down list.

4.

Set the time frame criteria for task assignments to delete by choosing Ever Sent, Older Than, or Sent Between from the list.

NOTE

If Older Than or Sent Between is selected, additional date criteria can be entered.

5.

Select the option to delete the task assignments for all users or a specific user under the heading If Necessary, Specify the Users Whose Items Should Be Deleted.

6.

Click Delete to permanently delete the assignments from the MSP_Web_tables.

To delete resource task changes, follow these steps:

NOTE

Resource task changes are entries in the Updates page. Project Server retains a complete history of all changes submitted.


1.

Under the Admin tab, select Clean Up Project Server Database. The Clean Up Project Server Database page displays, as shown previously in Figure 19.40.

2.

Select the Resource Task Changes radio button under the Specify Items You Want to Delete section.

3.

Set the time frame criteria for resource task changes to delete by choosing Ever Sent, Older Than, or Sent Between from the list.

NOTE

If Older Than or Sent Between is selected, additional date criteria can be entered.

4.

Select to delete the resource task changes for all users or a specific user under the heading If Necessary, Specify the Users Whose Items Should Be Deleted.

5.

Click Delete to permanently delete the resource task changes.

To delete status reports, do the following:

1.

Under the Admin tab, select Clean Up Project Server Database. The Clean Up Project Server Database page displays, as shown previously in Figure 19.40.

2.

Select the Status Reports radio button under the Specify Items You Want to Delete section.

3.

Set the time frame criteria for status reports to delete by choosing Ever Sent, Older Than, or Sent Between from the list.

NOTE

If Older Than or Sent Between is selected, additional date criteria can be entered.

4.

Select to delete the status reports for all users or a specific user under the heading If Necessary, Specify the Users Whose Items Should Be Deleted.

5.

Click Delete to permanently delete the status reports from the database.

Projects and to-do lists may be deleted if they are no longer valid or need to be saved (prior to deleting) and archived from the Project Server database. Perform the following steps to delete projects and to-do lists:

NOTE

Projects or to-do lists will be permanently deleted from the database along with the associated assignments in PWA for all team members.


1.

Under the Admin tab, select Clean Up Project Server Database. The Clean Up Project Server Database page displays, as shown previously in Figure 19.40.

2.

Select the Projects and To-Do lists radio button under the Specify Items You Want to Delete section.

3.

Select the project or to-do list from the grid.

NOTE

To permanently delete the SharePoint team website for the specified project, check the box.

4.

Click Delete to permanently delete the project or to-do list.

Resources may be deleted if they should no longer be available in the Enterprise Resource Pool for assignment. Resources are not deleted from the database. They are set to be inactive to prevent access, and no future assignments can be made. Any associated historical information, such as timesheet entries (actuals), status reports, and so on, remains in the database, and the resources are removed from the Enterprise Resource Pool. To delete a resource, follow these steps:

1.

Under the Admin tab, select Clean Up Project Server Database. The Clean Up Project Server Database page displays, as shown previously in Figure 19.40.

2.

Select the Resource radio button below the project grid under the Specify Items You Want to Delete section.

3.

Select the resource from the drop-down list.

NOTE

A deletion comment can be entered in the text box provided. The default comment is "Deleted M/D/YYYY."

4.

Type a comment in the Deletion Comment text box.

5.

Click Delete.
