Using Labels and Categories


Outlook enables you to color -code appointments when you use the calendar grid. This makes it easier to see what types of appointments you have scheduled.

The Label field is on the Appointment tab and includes ten colors plus "none." The colors aren't customizable, but you can change the names used on the labels. You can choose a label when you create the appointment or change the label at any time:

  1. Select an appointment, and then use the E dit, L abel menu selection to add a label to an appointment or right-click on the appointment and choose L abel.

  2. Open the item and select a label from the La b el drop-down list.

  3. Open the Automatic Formatting dialog and use rules to apply labels to many appointments at once. Right-click on the calendar and choose Automatic Formatting to open the dialog.

You must use a Day/Week/Month view to view the label colors. When you use a Table view, you can add the Label field and see the label name. Use the view's automatic formatting to colorize the items by label name . Right-click on the field names and choose C ustomize Current View or Custo m from the menu to open the Automatic Formatting dialog.


You can change the names used for the labels by using the E dit, L abels, E dit Labels menu selection to open the Edit Calendar Labels dialog.
