Delivering a Slide Show


 Microsoft Office Specialist     The simplest way to advance from one slide to the next in Slide Show view is to click the mouse button. However, PowerPoint 2003 provides a popup toolbar that appears when you move the mouse while in Slide Show view to enable you to move around in other ways.

 New in Office 2003   ”  New slide show navigation tools    You can use the following techniques to navigate through a slide show:

  • To start a slide show with a particular slide, select the slide in Normal or Slide Sorter view, and then click the Slide Show button.

  • To move to the next slide, press [Space] or the [ ] key; click the Next button on the popup toolbar that appears when you move the mouse during a slide show; or right-click the screen, and click Next on the shortcut menu.

  • To move to the previous slide, press the [ ] key; click the Previous button on the popup toolbar that appears when you move the mouse during a slide show; or right-click the screen, and click Previous on the shortcut menu.

  • To jump to a slide out of sequence (even one that is hidden), click the Navigation button on the popup toolbar that appears when you move the mouse during a slide show, click Go to Slide, and then click the slide on the submenu; or right- click the screen, click Go to Slide, and then click the slide on the submenu.

  • To display the slides in a custom slide show, click the Navigation button on the popup toolbar that appears when you move the mouse during a slide show, click Custom Show, and click the show on the submenu; or right-click the screen, click Custom Show, and click the show on the submenu.

  • To end a slide show at any time, click the Navigation button on the popup toolbar, and click End Show; right-click the screen, and click End Show on the shortcut menu; or press [Esc].

    Tip  

    If you are in the middle of a slide show and can t remember how to move to a particular slide, click the Navigation button on the popup toolbar, and then click Help. PowerPoint displays a long list of keyboard shortcuts for carrying out slide show tasks . For example, you can press [N] to go to the next slide, press [H] to show a hidden slide, press [E] to erase pen annotations, or press [A] to show the pointer arrow.

 New in Office 2003   ”  Improved ink annotations    During a slide show, you can annotate slides by drawing freehand lines and shapes to emphasize a point. To do this, you click the Pointer arrow on the popup toolbar, click a pen tool, and then begin drawing. You can change the ink color at any time during the presentation by clicking the Pointer arrow, clicking Ink Color, and clicking a color in the palette that appears.

In this exercise, you will use the popup toolbar to navigate through a presentation in Slide Show view and to end a slide show. You ll also use the pen tool to mark up a slide during a slide show, and you ll change the pen color.

USE the DeliverShow presentation in the practice file folder for this topic. This practice file is located in the My Documents\Microsoft Press\PowerPoint 2003 SBS\SettingShow\DeliveringShow folder and can also be accessed by clicking Start/All Programs/Microsoft Press/PowerPoint 2003 Step by Step .

OPEN the DeliverShow presentation.

  1. With Slide 1 selected, click the Slide Show button.

    PowerPoint displays the first slide in the presentation, and the title and subtitle fly in from the right.

  2. Click anywhere on the screen, or press [Space].

    The slide show advances to the next slide.

  3. Press the [ ] key twice to display the previous slide, and then press the [ «] key to display the next slide.

  4. Move the mouse.

    PowerPoint displays the pointer, and the popup toolbar appears in the lower-left corner of the screen.

    Troubleshooting  

    If the popup toolbar doesn t appear, press [Esc] to end the slide show, and then on the Tools menu, click Options. On the View tab, select the Show popup toolbar check box, and click OK.

  5. On the popup toolbar, click the Next button.

    The first bullet point on Slide 2 appears.

  6. Right-click anywhere on the screen, and then on the shortcut menu, click Previous .

    The bullet point disappears.

  7. Right-click anywhere on the screen, and point to Go to Slide .

  8. In the list of slide names , click 8 Sample Project Budget .

  9. Display the popup toolbar, click the Navigation button, and click Next .

    A budget chart appears on Slide 8.

  10. Right-click anywhere on the screen, and click End Show .

    Slide 8 appears in Normal view.

    Tip  

    If you click all the way through to the end of the slide show, PowerPoint displays a black screen to indicate that the next click will return you to the previous view. If you do not want the black screen to appear at the end of a slide show, click Options on the Tools menu. Then on the View tab, clear the End with black slide check box, and click OK. Clicking while the last slide is displayed will then return you directly to the previous view.

  11. Move to Slide 7, and click the Slide Show button.

    PowerPoint displays the current slide in Slide Show view.

    Tip  

    Right-click anywhere on the screen, point to Pointer Options on the shortcut menu, and then click Felt Tip Pen .

    The pointer changes to resemble the tip of a felt tip pen.

    Important  

    When the pen tool is active in Slide Show view, clicking the mouse does not advance the slide show to the next slide. You need to switch back to the regular pointer to advance the slide using the mouse.

  12. Draw a line under the word Key in the title.

  13. Right-click anywhere on the screen, point to Pointer Options , and then click Erase All Ink on Slide .

    The line is erased.

  14. Press [Space] twice to display the Sample Project Budget slide and its chart.

  15. On the popup toolbar, click the Pointer arrow, and then click Ink Color .

    The Ink Color palette appears with a selection of colors.

  16. On the Ink Color palette, click any color box.

  17. Draw circles around $500 and Fall/Winter in the chart s title.

  18. Right-click anywhere on the screen, point to Pointer Options , and then click Arrow .

    The pen tool changes back to the regular pointer, and you can now click the mouse button to advance to the next slide.

  19. Press [Esc] to stop the slide show.

    A message asks whether you want to keep your ink annotations.

  20. Click Discard .

    Slide 8 appears in Normal view.

CLOSE the DeliverShow presentation.

Using Presenter View with Multiple Monitors

If your computer is connected to two monitors, you can view a slide show on one monitor while you control it from the other. This is useful when you want to control a slide show and run other programs that the audience doesn t need to see.

You can set up your presentation to use multiple monitors by clicking Set Up Show on the Slide Show menu, and then in the Multiple monitors area of the Set Up Show dialog box, specifying which monitor the slide show should be displayed on and selecting the Show Presenter View check box. You can then control the slide show by using special presenter tools in Presenter view. You can see details about what bullet point or slide is coming next, see your speaker notes, and jump directly to any slide.

Important  

Before you can use multiple monitors, you need to install the proper hardware and software. Install the secondary monitor or projecting device according to the manufacturer s instructions. Check with your computer manufacturer to find out whether integrated dual-monitor support is available so that you can utilize the Presenter view.

To deliver a slide show on one monitor and use Presenter view on another:

  1. Open the PowerPoint presentation you want to set up.

  2. On the Slide Show menu, click Set Up Show .

  3. In the Multiple monitors area, click the down arrow to the right of the Display slide show on box, and click the name of the monitor you want to use to project the slide show.

  4. In the Multiple monitors area, select the Show Presenter View check box, and click OK .

  5. Click Slide Show button to start the slide show.

  6. In Presenter view, use the navigation tools to deliver the presentation.
