Editing Text


Editing refers to the process of making changes to the text ” altering, adding, removing, or moving words or paragraphs. In this topic, you will edit the text of the other document you have been working on in this chapter so that it is error-free.

Deleting and Replacing Text

When creating documents, you will usually start by typing roughly what you want the document to contain, and then you ll go back and edit the contents until you are satisfied with them. First let s practice deleting and replacing text:

  1. Display the Windows taskbar, and click the Glacier Bag Party button to display that document.

  2. Click an insertion point to the left of the e in Saterday , press the Delete key to delete the character to the right, and without moving the insertion point, type u .

    If an AutoCorrect box appears, telling you to press Enter to insert the word Saturday, ignore it for now. The red, wavy underline that flagged the typo disappears.

  3. Click an insertion point to the right of the u in honur , press Backspace to delete the character to the left, and type o .

    If you are using British English, you can add the o without deleting the u .

  4. In the second line, select the word that , and press either Delete or Backspace to delete the word.

  5. In the third line, double-click the word more, and with the word selected, type further as its replacement.

  6. Click the Save button to save the Glacier Bag Party document.

The Office Clipboard

To cut or copy several items from one document and paste them into another document in Word or a different Windows application, you can use the Office Clipboard. To display the Clipboard task pane, click Office Clipboard on the Edit menu. Each item you cut or copy is represented in the Clipboard task pane by the icon of the program in which it was created, as well as the first few characters of text or a thumbnail image. To paste one item, click an insertion point in the desired location, and then in the Clipboard task pane, click the item you want to paste. To paste all of the items at once, click the Paste All button at the top of the task pane. To clear the items from the task pane, click the Clear All button. To change when and where the Clipboard task pane is displayed, click the Options button at the bottom of the task pane and then click the command you want. To close the task pane, click its Close button.

Moving and Copying Text

You can move or copy any amount of text within the same document or to a different document. Move operations can be carried out using the Cut and Paste buttons on the Standard toolbar. Similarly, copy operations can be carried out using the Copy and Paste buttons . Let s experiment with moving and copying text:

  1. In the Glacier Bag Party document, select the words next week , and click the Cut button on the Standard toolbar.

    If the Cut button is not visible, double-click the Standard toolbar s move handle to expand the toolbar and display all its buttons. Word removes the text from the document and stores it in a temporary storage place, called the Office Clipboard, in your computer s memory.

  2. Click an insertion point to the left of the w in with , and click the Paste button.

    Word inserts the cut text, preceding it with a space, and displays the Paste Options button below the text.

  3. Select the sentence that begins I hope you , point to the selection, and drag it to the right of the last period in the text.

    Now try copying text to a different document.

  4. On the Edit menu, click Select All to select all the text in the Glacier Bag Party document, and then click the Copy button.

  5. On the Window menu, click Launch Party Letter .

    Alternately, you can click the Launch Party Letter document s button on the taskbar.

  6. Click an insertion point to the left of I am pleased in the first paragraph of the letter, and on the Standard toolbar, click the Paste button to insert the copied paragraph.

    Notice that when you copied the paragraph from Glacier Bag Party to Launch Party Letter, you copied the formatting of the paragraph as well. Now you need to make the formatting of the letter consistent.

  7. On the Edit menu, click Select All . Then on the Formatting toolbar, change the Font setting to Times New Roman and the Font Size setting to 10 .

    The Paste Options button

    When you paste information into a document, the PasteOptions button appears just below the pasted information.You can decide how you want to format the pasted information by clicking the button and then clicking the command you want.Which commands are available changes depending on the type of information you are pasting, as well as what program the information comes from and what format it is in.

  8. Click anywhere in the second paragraph, and on the Formatting toolbar, click the Justify button.

  9. Press Ctrl+Home , and then save the letter.

Smart cut and paste

Word s smart cut and paste feature makes it easy to quickly select a word or words, cut the text, and paste it elsewhere without worrying about spaces.Word figures out where to insert the spaces for you. This feature is turned on by default. If you want to turn this feature off, on the Tools menu, click Options, click the Edit tab, and deselect the Smart cut and paste check box; then click OK to close the Options dialog box.

Undoing and redoing multiple actions

In Word, you can undo and redo several actions at a time. Click the down arrow to the right of the appropriate button and drag through the actions in the list that you want to undo or redo.You cannot undo or redo a single action other than the last one.For example, to undo the third action in the list, you must also undo the first and second.

Undoing and Redoing a Command

For those occasions when you make an editing mistake or when you simply change your mind about something you ve done, Word provides a couple of safety nets : the Undo and Redo commands. Follow these steps to use these commands and then finish off the letter:

  1. In the selection bar, drag downward to the left of the first paragraph of the letter to select both it and the blank paragraph mark that follows it.

  2. On the Standard toolbar, click the Cut button.

  3. Press Ctrl+End to move to the end of the document, press Enter , and click the Paste button.

    You re not sure you need the paragraph now that you ve copied it into the letter, so you want to reverse the paste operation.

  4. Click the Undo button.

    You change your mind again, and you want to paste the paragraph back into the letter.

  5. Click the Redo button

  6. With the insertion point at the end of the letter, type Again, thank you! , press Enter four times, type Al Pine , and then press Enter again.

  7. Save the document.
