Adding a Search Folder

Right-click the Search Folders folder in the list and then select New Search Folder from the shortcut menu that appears.

The New Search Folder dialog box opens, displaying a list of several predesigned search folders. If needed, click the scroll buttons to scroll through the list.

INTRODUCTION

In the All Mail Folders list, Outlook includes various search folders designed to contain messages of a specified type. For instance, Outlook by default includes Search folders with messages flagged for follow up, unread messages, and large messages. You can add other search folders as needed. For example, you might want to set up a search folder for all e-mail with attachments. Messages that meet the Search folders criteria are automatically placed in that folder.

Click one of the predesigned search folders to select it.

Click OK .

The new search folder is added to the Search Folders list under All Mail Folders. Outlook also checks any existing messages and includes them in this search folder, along with any new folders that meet the criteria.

HINT

Customizing Search Folders

When you select a search folder, the Customize Search Folder options in the New Search Folder dialog box become available. Click the Choose button to view (and, if needed, modify) the criteria for this search folder.


Organizing Messages in Folders

Select the message you want to move.

Open the Edit menu and choose Move to Folder .

INTRODUCTION

Rather than keeping all your messages in your Inbox, you can delete messages you don't need and move messages you want to keep to folders you have created.

Selecting Messages

For help selecting the messages you want to move, refer to the task "Selecting Messages" in Part 3.

HINT

Moving Other Messages

You aren't limited to moving messages only from your Inbox. You can select messages in any folders and move them to other folders.

The Move Items dialog box opens. Click the folder to which you want to move the selected messages (in this example, the Business folder.)

Click OK .

The messages are moved. (To confirm the move, open the folder.)

HINT

Copying Messages

To copy, rather than move, your message from one folder to another, follow the process outlined in this task, but select Copy to Folder instead of Move to Folder in step 2.

TIP

Using the Toolbar

Instead of opening the Edit menu and choosing Move to Folder, you can click the Move to Folder button (the one with two folders on it) on the main Outlook toolbar to open the Move Items dialog box.


Color Coding Messages

Open the Tools menu and choose Organize Messages .

The Organize pane opens. Click the Using Colors link.

Click the down arrow next to the Color Messages field and choose From (to color all messages from a particular person) or Sent To (to color all messages to a particular person).

Type the e-mail address of the person whose messages you want to color.

INTRODUCTION

In addition to using folders to organize messages, you can also use colors. For example, you might apply a special color to all messages from a particular person. You can then see at a glance which messages are from that person.

TIP

Moving Messages

You can also use the Organize pane to move messages to a different folder. To do so, open the Tools menu and choose Organize , click the Using Folders link, and select the messages you want to move. Display the Folder drop-down list, select the folder to which the selected messages should be moved, and click the Move button.

Click the down arrow next to the In field and select the color you want to apply.

Click the Apply Color button.

Messages that match the criteria are displayed in the color you selected.

Click the Organize pane's Close (x) button to close it.

HINT

Color Coding Messages Sent to You

If you want to color code messages sent only to you (in contrast to messages that were sent to several individuals), click the down arrow next to the Show Messages Sent Only to Me In field, choose a color from the list that appears, and then click the Turn On button.
