Opening and Editing Existing Appointments

Display the date that contains the appointment you want to open . (For more information, refer to "Viewing a Particular Date" earlier in this part.

Double-click the appointment you want to open.

The selected event's Appointment window opens, displaying the details of the scheduled event. Make changes to the appointment information as needed.

Click the Save and Close button to update the event.

INTRODUCTION

No doubt there will be times when you'll want to view the details of a scheduled appointment, either to verify a time or to change some aspect of the event.

TIP

Handling Scheduling Conflicts

If you schedule two appointments that overlap, the Appointment window displays the message Conflicts with Another Appointment on Your Calendar . You are not notified of this problem when you save and close the appointment, so be sure to keep a careful eye on double-booked times.


Labeling and Marking Appointments

With the appointment displayed, click the down-arrow button next to the Label field and select a label from the list that appears.

To change how the time for the appointment appears, click the down-arrow next to the Show Time As field and select an option.

Click the Save and Close button in the Appointment window.

Color-coded labeled events help you see at a glance the event type; time-coded events are indicated with a border.

INTRODUCTION

You have several options for coding your scheduled appointments. First, you can label an event. You have several options ranging from importance to personal to event type (birthday, for example). Second, you can select how the time is displayed in your calendar; you can choose Free, Tentative, Busy, or Out of Office.

Editing Label

To change the label for an event, select the event, open the Edit menu and choose Label , and select the label you want to apply.

TIP

Using Other Options

You can also mark an appointment as high or low importance using the Importance: High or Importance: Low buttons in the Appointment window. To mark an appointment as private, check the Private check box.


Assigning a Category to an Appointment

With the appointment displayed, click the Categories button in the Appointment window.

The Categories dialog box opens, displaying a list of available categories. Mark the check box next to any categories you want to assign to the appointment.

Click OK .

INTRODUCTION

To organize your appointments, you can assign each one a category (such as personal or business) . You can then view all appointments by category. Doing so can help you distinguish the various types of items in your schedule.

The category is listed with the appointment details. Click the Save and Close button.

To view your appointments by category, open the View menu, choose Arrange By , select Current View , and then click By Category .

Outlook displays a list of your appointments, arranged by category.

TIP

Expanding and Collapsing the List

You can display more (or less) information for the selected appointments for each category. Click the plus sign ( + ) next to a category to expand the item and display all appointments. Click the minus sign ( ) to hide the appointments.

TIP

No Category?

If you have not assigned categories to other appointments, they are all grouped together in the Category view.
