Getting to an SAP R/3 Document Entry Screen

All business transactions involve documents. Sometimes SAP R/3 creates documents automatically, but at other times you need to create documents yourself with a document entry screen. Document entry screens exist in all modules.

No matter what kind of document you want to create, you begin at the SAP R/3 home screen (refer to Figure 1.3 for a refresher). To access the purchase requisition document entry screen, follow these steps:

  1. Choose Logistics, Materials Management (see Figure 3.1). Notice that some commands have a small arrow beside them, which means that choosing the command will display more choices on a submenu.

  2. Choose Purchasing. The Purchasing screen appears.

  3. From the Purchasing screen, choose Requisition, Create. The Create: Purchase Requisition: Initial Screen appears (see Figure 3.2).

    TIP

    Two New Buttons  

    The buttons that show mountains and pages (in the upper-left corner) vary from screen to screen. To see what they do, point to them. In this case, they are Item Overview and Copy Reference. Item Overview shows the "summary" screen of a document. Copy Reference allows you to copy the details from another document into the one you are creating.

    In this example, some of the fields appeared with values already in them. You could have different fields carried in. See Lesson 16 to carry some values in for yourself. You can type over any value that is different from what you need.


  4. Notice the little box to the left of Source Determination. This is called a selection box because a mark inside the box indicates that the function is turned on; a blank box indicates that the function is turned off. For this kind of document (purchase requisition), you could choose whether you want SAP R/3 to automatically determine the source of the material. For now, leave this box blank. Press Enter; the document entry screen appears.

Figure 3.3 shows the Create: Purchase Requisition: Item Overview screen. It's typical of the many document entry screens in SAP R/3.

Is yours different? Two different views of this screen are actually available. Choose Edit, Change Display to switch between the two formats. I prefer the "stacked" display (see Figure 3.4), where I can see all the fields onscreen. All exercises in this book show the stacked display.

Many business documents have a single header and multiple line items . You can use this screen to enter a purchase requisition with one or more line items. You can request several kinds of products on a single purchase requisition. Each product will be listed as a single line item.

Plain English

Header  

Information that's common to all line items. On a cash register receipt, for example, the header contains the date, store, and so on.

Line item  

One or more items that are part of a larger single document. In the cash register receipt example, the line items designate items, prices, and quantities .


In Figure 3.4, you can see the Purchase requisition and Doc. type header lines at the top. Because you haven't yet created a requisition, the Purchase requisition field is currently blank.

Also note the following things in Figure 3.4:

  • The fields for each line item are stacked (there are two screen lines to contain each line item). The titles are stacked above the two lines in a pattern similar to the stacking fields themselves .

  • There are selection boxes to the left of each line item. You will use these later to select a particular line item with which to work.

  • Because of the way the fields are stacked, some displayed titles are very short (like the A field). See the later section "How the Fields Are Used" to learn how to get more details about any field.
