Distribute Training Instrument 12-9: Communication Plan. Instruct each team to determine three or four major communications to implement during the execution of their project. Have them create a replica of the training instrument on their flipchart. Ask for a variety of formats, frequency levels, and target audiences. Give them seven or eight minutes to create their plans, and spend the remaining time comparing plans among the teams . Ask why they chose certain formats, what kinds of information would be on some of their choices, and how detailed it should be.
Stress the value of planning communications in advance and the urgency of maintaining the delivery schedule once they ‚ ve established it. (Ask them why projects status reports often start falling behind. What does that normally signal? By the same token, what is usually implied by a sudden increase in reporting activity?)
