Choosing Display Options

Address Book shows records in Details view, by default. But, you can choose to view entries as large or small icons, or in a list format. These choices are accessible via the View menu.

In Details view, four columns are displayed. By default, those columns are Name, E-Mail Address, Business Phone, and Home Phone. You can't alter the first two columns, but you have choices about the third and fourth. To replace either of those columns with a different field from the Address Book database, right-click the column heading. Figure 17-1 shows what choices are available.

You can't add more columns to Details view, but you can change the order in which the four columns appear. To move a column, drag its heading.

You can also change the width of columns. To do so, drag the column separator at the right of the column heading. To make a column just wide enough to accommodate its widest entry, double-click the column separator at the right of the column heading.

Sorting Options

By default, Address Book sorts entries in ascending order by first name. If that order doesn't suit you, you can make a change.

To sort by a different column field, click the field heading. Initially when you do this, you get an ascending sort. For a descending sort, click the heading again.

To sort by last name instead of first, open the View menu, point to Sort By, and choose Last Name. As Figure 17-2 shows, when you sort by last name, Address Book rearranges the names into a last name, first name format.

Viewing Folders

Address Book allows you to organize your contacts into folders. You might, for example, have one folder for personal contacts and another for business contacts. Address Book also allows you to create named groups of contacts. Groups make it easy to address an e-mail message to multiple recipients. If you use folders or groups, you can see the structure of your address book more easily by choosing Folders And Groups from the View menu. This causes a folder pane to appear, comparable to the Folders bar in Windows Explorer. For more information about using folders and groups, see "Organizing Your Address Book."
