Working with Attachments


You know that an e-mail message has an attachment by the paper clip icon that precedes the message header. To display the attachment, click the paper clip icon in the Folder list, or open the message and then double-click the attached file icon. A message box opens, warning you that the attachment might contain a virus, but also providing two options for working with the attachment: Open and Save. You can also choose to save the attachment so you can open it later, or you can choose to open the attachment from within Outlook. You can open the attachment if the program with which the attachment was created is installed on your computer. You should always know the origin of an attachment before you save or open it. Be careful before opening a message that contains an attachment that has been forwarded many times ”use your virus protection software to scan the attached file first.

Open an Attachment

Display the message that includes an attachment in the Reading pane or Folder list.

Double-click the attached file icon to open the Opening Mail Attachment dialog box.

Click Open, to open the attachment in the application in which the attachment was created.

Save an Attachment

Display the message that includes an attachment in the Reading pane or Folder list.

Navigate to the folder in which you want to save the attachment.

Did You Know?

You can delete an attachment without opening or saving it . Right-click the attachment, and then click Remove on the shortcut menu.

You can display the multiple screens of a message in Reading layout . Click the Read button on the toolbar, and then click OK.

For Your Information

Unsafe Attachments

The "unsafe" category of files represents any extension that may have script or code associated with it. You cannot open any attachment with an "unsafe" extension if you use a version of Outlook that has the security patch applied to it. Some of the more common ones are: Windows Media Audio/Video (.asx), Security certificate (.crt), Program (.exe), Help file (.hlp), Setup Information (.inf), Microsoft Windows Installer package (.msi), and Microsoft Outlook profile settings (.prf).
