Navigating with the Document Map


Word comes with a feature called Document Map, which lets you view an outline of your document onscreen as you work and quickly navigate among headings. This feature only works properly if you have formatted your headings in one of these ways:

  • You have applied built-in heading styles.

  • You have applied your own heading styles that contain outline levels. This process is described in "Creating Styles for Your Headings" in Hour 9.

  • You have applied outline levels to the individual paragraphs that you want to use as headings in your document (using the Outline Level drop-down list in the Paragraph dialog box).

If you haven't formatted your headings using one of these three approaches and you turn on the Document Map, Word scans through your document looking for short lines of text that "look" like headings, formats them with an outline level of 1 (on par with level-1 headings), and then populates the Document Map with these paragraphs. Depending on the content of your document, you may get a list of actual headings, or you may get a pile of clutter. If you see a mess in the Document Map, close the document without saving, use one of the approaches above to format your headings properly, and then turn on the Document Map again.


Follow these steps to use the Document Map:

  1. Click the Document Map button in the Standard toolbar (or choose View, Document Map).

  2. An outline of your document appears in a pane on the left side of the Word window, as shown in Figure 13.1. The document in the figure contains two heading levels, formatted with the Heading 1 and Heading 2 styles. To navigate to another section of your document, click the desired heading in the Document Map. (If the Document Map is not wide enough to display a heading, the full heading will appear in a ScreenTip when you point to it.)

  3. You can expand and collapse the outline in the Document Map by right-clicking anywhere in the Document Map and clicking the heading level that you want to view in the context menu. In Figure 13.2, the Document Map has been collapsed to show only the top-level headings, and the context menu is displayed.

  4. To expand an individual heading in the Document Map to display its subheadings , click the plus sign next to its name . The plus sign changes to a minus sign. To collapse the heading again (thus hiding its subheadings), click the minus sign.

  5. To alter the width of the document map, drag the right edge of the Document Map to the right or left.

  6. To close the Document Map, click the Document Map toolbar button again.

If you find that the font used in the Document Map is larger than you'd like, you can reduce its size by changing the Document Map paragraph style. By default, the Document Map style is not displayed in the Styles and Formatting task pane, so you have to first display it, and then modify it to change its font. To do so, follow these steps:

  1. Click the Document Map button on the Standard toolbar to display the Document Map.

  2. Click the Styles and Formatting button on the Formatting toolbar to display the Styles and Formatting task pane.

  3. Display the Show drop-down list at the bottom of the task pane and choose Custom .

  4. In the Format Settings dialog box, display the Category list and choose All Styles . Then mark the Document Map check box in the Styles to Be Visible list, and click OK .

  5. The Document Map style now appears in the list of styles shown in the task pane. Point to it and click its down arrow to display a drop-down list, and choose Modify .

  6. In the Modify Style dialog box, mark the Add to Template check box to save this style change for all documents based on the current template, and then click the Format button and choose Font .

  7. In the Font dialog box, choose the desired font settings, and click OK .

  8. Click OK to close the Modify Style dialog box, and then close the task pane.
